Job Description

Role Purpose:
The Leasing Executive provides Level 1 operational and administrative support for leasing activities. This role focuses on tenant operations, lease administration, documentation accuracy, and lead generation, while all commercial negotiations, deal structuring, and strategic decisions remain with the Leasing Manager.

Key Responsibilities

1. Lease Administration & Documentation (Level 1)

  • Prepare, process, and administer tenancy agreements, including new leases, renewals, variations, and terminations, based on approved terms.
  • Ensure lease documentation complies with company policies, internal controls, and regulatory requirements.
  • Maintain accurate and up‑to‑date records in the lease management system, ensuring data integrity and audit readiness.
  • Track lease expiry dates and provide timely reminders to the Leasing Manager for follow‑up or renewal planning.

2. Tenant Operations & First‑Level Support

  • Serve as the first point of contact for tenants on day‑to‑day operational matters.
  • Handle tenant enquiries, coordinate internal follow‑ups, and manage basic issue resolution.
  • Escalate commercial, contractual, or sensitive matters promptly to the Leasing Manager.
  • Coordinate with vendors and contractors for tenant‑related operational matters as assigned.

3. Lead Generation & Leasing Support

  • Support leasing lead generation activities, including responding to inbound enquiries and managing initial tenant information.
  • Conduct initial screenings of leasing enquiries and prepare summaries for the Leasing Manager's review.
  • Arrange site viewings and assist in lease onboarding activities.
  • Maintain a pipeline log of leasing enquiries and potential tenants.

4. Operational & Facilities Coordination

  • Manage seasonal car park charges across three (3) buildings:
    Burn Road
    1 Senoko Road
    5 Senoko Road (TYJ Building)
  • Coordinate ORA areas for leasing, including condenser spaces and roller cage areas.
  • Liaise with SCDF, tenants, and internal stakeholders on operational matters such as fire drills and basic regulatory coordination (non‑negotiation).

5. Building Communications

  • Update and manage tenant notice boardcommunications across all three (3) buildings to ensure timely, accurate, and consistent messaging.
  • Support dissemination of landlord or management notices to tenants.

Requirements:

  • Tertiary education in Real Estate/Building Management/Marketing or any related discipline
  • At least 1 year of relevant experience
  • Strong presentation and negotiation skills.
  • Good knowledge of the tenancy agreement process and documentation for leasing
  • Should have some facility maintenance or engineering knowledge to manage the assigned properties effectively
  • Good track record in office sales and leasing
  • Well organized, meticulous and highly numerate
  • Strong oral and written communication skills, as well as interpersonal and tenant relationship management skills
  • Resourceful, self-motivated and able to work independently as well as part of a team in a constantly evolving environment
