Job Description

Role Purpose

The Leasing Executive provides administrative and operational support to the Group's leasing function, ensuring accurate documentation, timely coordination with landlords and internal stakeholders, and effective tracking of lease-related matters across Fei Siong Group's portfolio of brands and outlets.

This role is critical in supporting lease renewals, new site onboarding, compliance documentation, and data integrity across the Group's expanding retail and F&B footprint.

Key Responsibilities

1. Leasing Administration & Documentation

  • Prepare, organise, and maintain lease agreements, side letters, renewal documents, and related correspondence
  • Track key lease milestones including expiry dates, renewal options, rent reviews, and handover timelines
  • Maintain a centralised lease database and document repository (digital and physical)
  • Ensure accuracy and completeness of all leasing records for audit and management review

2. Coordination & Stakeholder Support

  • Act as the primary administrative liaison between landlords, property agents, legal teams, and internal departments (Finance, Operations, Legal)
  • Coordinate execution of lease documents, approvals, and signatures
  • Support onboarding of new outlets by coordinating lease documentation and handover requirements

3. Financial & Compliance Support

  • Assist in tracking rental payments, deposits, utilities, and other lease-related charges
  • Support Finance with reconciliation of rental invoices and lease schedules
  • Ensure leasing documentation complies with internal policies, audit requirements, and regulatory standards

4. Reporting & Data Management

  • Prepare regular leasing status reports, summaries, and trackers for management
  • Support ad-hoc data requests related to lease terms, costs, and portfolio analysis
  • Assist in updating leasing information for budgeting, forecasting, and business planning exercises

5. General Administrative Support

  • Manage filing systems, email correspondence, and meeting coordination related to leasing matters
  • Provide administrative support for leasing meetings, presentations, and site documentation
  • Perform other ad-hoc administrative duties as required to support the leasing team

Requirements

Qualifications & Experience

  • Diploma or Degree in Business Administration, Real Estate, Finance, or related disciplines
  • Minimum 13 years of administrative experience, preferably in leasing, property, retail, or F&B environments
  • Prior exposure to lease documentation or property administration is an advantage

Skills & Competencies

  • Strong administrative, organisational, and documentation skills
  • High attention to detail and accuracy
  • Proficient in Microsoft Excel, Word, and PowerPoint
  • Ability to manage multiple tasks and meet deadlines
  • Good communication and coordination skills
  • Discreet and professional in handling confidential information
