We are looking for a proactive, organised and personable Junior Events Executive to support the events team at Marguerite and Hortus. This role is ideal for someone who is passionate about hospitality and events and enjoys working with clients to create memorable dining and event experiences.
The Junior Events Executive will assist with event enquiries, sales coordination, planning and on-site execution while working closely with the Events Manager and restaurant operations teams.
Key Responsibilities
Event Sales & Client Support
- Respond to event enquiries and assist with preparing proposals, quotations and event packages.
- Follow up with prospective clients and assist in converting enquiries into confirmed events.
- Maintain good relationships with existing and prospective clients.
- Assist with site visits and client meetings.
- Support the Events Manager in developing new business opportunities and promoting the venues for private, corporate and social events.
Event Planning & Coordination
- Assist with coordinating events from confirmation through to completion.
- Gather and record clients requirements, including menus, beverages, seating arrangements, décor, entertainment and AV requirements.
- Prepare event orders, function sheets, guest lists and other relevant documents.
- Coordinate with the kitchen, service and management teams to ensure all event details are communicated clearly.
- Assist with pre-event briefings and ensure all teams are aligned on event requirements.
Event Operations
- Support the Events Manager during event setup and execution.
- Be present on-site when required to assist with client and guest requirements.
- Ensure events are delivered according to agreed specifications and service standards.
- Assist in resolving any last-minute operational issues professionally and efficiently.
- Follow up with clients after events to obtain feedback and encourage repeat business.
Administration
- Maintain accurate records of event enquiries, confirmed events and client information.
- Assist with contracts, deposits, invoices and other event-related documentation.
- Update event calendars and internal systems.
- Prepare basic sales and event reports when required.
- Ensure all event information is properly documented and communicated to the relevant departments.
Requirements
- Diploma or degree in Hospitality, Events Management, Business or a related field is preferred.
- 1-2 years of experience in hospitality, events, sales or customer service is preferred.
- Fresh graduates with relevant internship or hospitality experience are welcome to apply.
- Strong communication and interpersonal skills.
- Good organisational skills and attention to detail.
- Positive, outgoing and service-oriented personality.
- Able to multitask and work effectively in a fast-paced environment.
- Comfortable communicating with clients and working with different internal teams.
- Proficient in Microsoft Office and other relevant software.
- Willingness to work evenings, weekends and public holidays when required for events.
