Responsibilities:
Sales Support
- Translate and assist in preparing client proposals and business documents
- Conduct property research and related investigations
- Maintain and update the CRM system
- Arrange business travel, including flights, accommodation, and itineraries
- Prepare accurate meeting minutes
- Organize internal and external business meals
Administrative Support
- Manage and store documents and data systematically
- Assist sales staff with expense submissions and consolidate receipts
- Handle entertainment and gift applications, including budget tracking
- Support general office administration, including safety drills
Other Duties
- Perform additional tasks as assigned
Requirements:
- Minimum 2 years of experience in administration, sales support, or secretarial roles
- Proficiency in Japanese for liaising with Japanese-speaking clients and stakeholders
- Business-level English, including email communication and translation (TOEIC 700+ preferred)
- Proficient in Microsoft Word, Excel, and PowerPoint with hands-on document preparation experience
- Meticulous, accurate, and detail-oriented in administrative tasks
- Strong communication and interpersonal skills for effective internal and external coordination
- Reliable in handling confidential information
- Motivated, proactive, and eager to learn
- Excellent analytical, problem-solving, negotiation, and communication skills
- Experience in a Japanese company is an added advantage
- Experience with CRM systems is an added advantage
- Experience arranging business trips and meals is an added advantage
- Experience preparing meeting minutes is an added advantage
- Experience in budget management and expense reconciliation is an added advantage
