◆Role Overview:

Our client is a Japanese architectural and multidisciplinary consulting firm with an international presence across Asia-Pacific. The Singapore office plays an important role in supporting the organisation's regional growth and international operations.

We are looking for a proactive and adaptable

Business Operations Executive

to support day-to-day operations while contributing to regional business initiatives. This is a hands-on, cross-functional position offering exposure to business operations, corporate services, HR coordination, procurement, IT coordination and business support.

Working closely with senior leadership and international teams, you will have the opportunity to take ownership of a wide range of responsibilities and develop a broad understanding of how an international business operates.

◆Key Responsibilities

You will:

• Coordinate employee onboarding and offboarding activities.
• Support HR administration and coordinate with external payroll providers and service partners.
• Manage office administration, facilities, and workplace operations.
• Coordinate procurement of office supplies, software licences, and IT equipment.
• Prepare laptops and user accounts for new employees following established procedures.
• Coordinate with external IT vendors and our Japan headquarters on day-to-day IT support.
• Maintain company documentation, project references, certifications, and knowledge repositories.
• Support proposal and tender submissions, presentations, reports, and business documentation.
• Maintain CRM records and assist with business reporting.
• Coordinate meetings, business travel, seminars, exhibitions, client events, and marketing activities.
• Participate in process improvement and regional business initiatives.
• Support other operational projects as the business continues to grow.
• Perform any other ad-hoc duties assigned.

◆Requirements

What We're Looking For

We're looking for someone who is eager to learn, enjoys solving problems, and wants to build a broad business career.

[Must Have]

• Min 1-3 years of relevant working experience in HR administration, office operations, procurement, IT coordination or business support functions.
• Proficiency in Japanese language for liaising with Japan HQ / Japanese speaking stakeholders

Soft Skill:

• Tech Savy
• Comfortable working in a broad, hands-on role that covers multiple functions
• Strong organisational and communication skills.
• Confidence using technology and AI tools, including learning new digital tools.
• A proactive mindset, attention to detail, and a willingness to take ownership.
• The ability to manage multiple priorities and work effectively with different stakeholders.
• Professionalism and discretion when handling confidential information.

[Good to Have]

• Experience supporting regional or international teams.
• Exposure to HR administration, office operations, procurement, IT coordination or business support functions.
• Experience using CRM systems or other business management platforms.
