Job Description

We are seeking a meticulous and analytical IT Project Administrator to support financial governance, budget planning, reporting, and administrative coordination across IT projects. The role requires strong budgeting experience, financial data analysis capability, and the ability to work closely with Project Managers, Operations teams, vendors, and stakeholders to ensure accurate budget tracking and financial compliance.

This position plays a critical role in maintaining financial discipline, ensuring proper documentation, and supporting project delivery within approved budgets.

Key Responsibilities:

Budget Planning & Expenditure Reporting

  • Collaborate with Project Managers, Operations Managers, vendors, and stakeholders to develop detailed project budget reports (daily/monthly/quarterly).
  • Align budget planning with project scope, timelines, and deliverables.
  • Maintain and update financial systems, spreadsheets, and reporting tools regularly to ensure timely and accurate budget capture.
  • Track actual project expenses against budgeted amounts (monthly/quarterly/yearly).
  • Perform financial data analytics and generate management reports on expenditure vs. planned budget.
  • Identify and analyse budget variances, including variance amounts and root causes (quarterly reviews).
  • Develop dashboards and visualizations to present financial trends, patterns, and insights clearly and concisely.
  • Work with stakeholders to ensure timely goods receipt and vendor payments within the financial year.
  • Gather and file procurement-related documentation (e.g., Purchase Orders, Certificates of Completion) into designated e-filing systems.
  • Serve as the Point of Contact (POC) for all budget-related matters and correspondences (internal and external stakeholders).
  • Support management by organizing regular financial review meetings with project POCs.
  • Communicate financial risks, budget updates, and expenditure differences clearly and proactively to stakeholders.

Administrative Duties

  • Perform structured data entry, e-filing, and data maintenance in designated systems, templates, and portals.
  • Organize, schedule, and coordinate meetings related to financial and project matters.
  • Maintain proper documentation control and version tracking of financial records.

Asset Accounting

  • Consolidate asset accounting records.
  • Work with Project Management Teams (PMTs) to reconcile and organize asset capitalization and accounting records.
  • Ensure asset documentation is complete and aligned with financial policies.

Requirements:

Essential Qualifications & Experience

  • Minimum 5 years of budgeting and financial reporting experience, preferably within IT or project-based environments.
  • Strong financial analysis and variance reporting skills.
  • High attention to detail and strong organizational capability.
  • Ability to manage multiple stakeholders and deadlines effectively.
  • Strong written and verbal communication skills.

Technical Skills

Advanced Microsoft Excel proficiency, including:

  • VLOOKUP
  • INDEX/MATCH
  • Pivot Tables
  • Data analysis functions
  • Macro programming knowledge (advantageous)

Proficient in Microsoft SharePoint:

  • Creation and customization of SharePoint pages
  • SharePoint Lists management
  • Site permissions administration
  • Proficient in Microsoft PowerPoint for management reporting.
  • Knowledge of Power BI / Tableau / Qlik Sense for dashboard creation and data visualization.

Preferred Attributes:

  • Experience in public sector or regulated environments (advantageous).
  • Experience handling procurement documentation and vendor payment cycles.
  • Strong analytical mindset with the ability to interpret financial trends and identify risks.
  • Independent, structured, and highly organized.
