Job Summary
We are seeking an IT Business Analyst to support and enhance our WLC technology ecosystem, primarily focusing on the MyMA platform and IPAC Access Control System across multiple dormitory sites. The role involves requirement gathering, stakeholder coordination, project management, and bridging business needs with IT solutions.
Key Responsibilities
1. Requirement Collection & Analysis
Gather, document, and analyze business requirements from stakeholders for MyMA and IPAC systems
Conduct workshops, interviews, and surveys to elicit user needs
Translate business requirements into functional specifications and user stories
Create process flow diagrams, use cases, and wireframes
Maintain a requirements traceability matrix
2. System Management - IPAC Access Control
Coordinate enhancements and maintenance of the IPAC system across dormitory sites
Work with in-house software development team on IPAC software improvements
Manage hardware vendor coordination for IPAC equipment procurement
Document system configurations, integrations, and defect tracking
Support defect management and resolution workflows
3. System Management - MyMA Platform
Support MyMA app operations including kiosks, vending machines, remittance, telco reseller, and catering modules
Coordinate with backend platform vendor on system enhancements
Manage requirements for e-commerce, stock management, inventory tracking, and delivery modules
Support WiFi operations integration at dormitory sites
4. IT Coordination & Liaison
Act as the bridge between business users and the IT development team
Communicate technical constraints and possibilities to business stakeholders
Coordinate with external vendors and technology partners
Facilitate UAT (User Acceptance Testing) sessions
Manage change requests and impact assessments
5. Project Management
Plan, track, and manage IT projects related to MyMA and IPAC systems
Develop project timelines, milestones, and deliverables
Conduct risk assessment and mitigation planning
Prepare project status reports and present to management
Ensure projects are delivered on time, within scope, and budget
6. User Coordination & Support
Serve as the primary point of contact for system users across dormitory sites
Conduct user training sessions for new features and system updates
Gather user feedback and translate into improvement initiatives
Manage user access, roles, and permissions coordination
Create user guides and training documentation
7. Documentation & Reporting
Maintain comprehensive system documentation (SRS, BRD, FSD)
Prepare business cases and capital investment justifications
Generate operational reports and analytics for management review
Document SOPs for system operations and maintenance
Requirements
Bachelor's Degree in Information Technology, Computer Science, Business Information Systems, or related field
Minimum 2 years of experience as an IT Business Analyst or similar role
Experience with access control systems, mobile applications, or e-commerce platforms is preferred
Experience working with cross-functional teams and external vendors
Technical Skills
Proficiency in requirement documentation tools (JIRA, Confluence, or equivalent)
Understanding of software development lifecycle (SDLC) and Agile methodologies
Familiarity with database concepts and basic SQL
Knowledge of API integrations and system architecture
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Visio)
Soft Skills
Excellent communication skills (written and verbal) in English
Strong analytical and problem-solving abilities
Ability to manage multiple projects simultaneously
Stakeholder management and negotiation skills
Attention to detail and documentation discipline
Self-motivated with ability to work independently
Preferred Qualifications
Experience in dormitory management or facilities management industry
Knowledge of payment systems, remittance, or telco platforms
CBAP, PMI-PBA, or PMP certification
Experience with fixed asset management processes
Familiarity with revenue sharing models and vendor management
