Job Description

As an Inventory Executive, you will play an important role in supporting inventory control, purchasing coordination, product claims management, and warehouse operations to ensure smooth business operations. This role is responsible for maintaining inventory accuracy, coordinating stock replenishment, handling warranty and product claims, and ensuring proper documentation and reporting in compliance with company policies and local regulations. In addition, you will prepare inventory reports, maintain accurate records for audit and compliance, and support sustainability initiatives including Environmental, Social & Governance (ESG) data collection, environmental programmes, and Corporate Social Responsibility (CSR) activities. You will work closely with retail outlets, warehouse teams, vendors, and HQ to support operational efficiency and enhance overall inventory management processes.

Job Responsibilities:

Inventory Management & Warehousing

  • Monitor inventory levels and ensure optimal stock availability across outlets and warehouse.

  • Support stock planning, replenishment, and inventory movement activities.

  • Perform accurate ERP system entries for inventory-related transactions and processes.

  • Coordinate with warehouse and retail teams to ensure stock accuracy and operational efficiency.

  • Assist in stock take, cycle count, and reconciliation exercises at outlets and warehouse.

  • Support shipping, logistics coordination, and delivery arrangements when required.

  • Monitor inventory movement and identify discrepancies for timely resolution.

Purchasing & Order Coordination

  • Attend to customer custom orders and ensure accurate order processing.

  • Coordinate and submit custom orders to vendors in a timely manner.

  • Follow up on order ETA and shipment status to ensure on-time arrival.

  • Liaise with suppliers and internal stakeholders on order updates and fulfillment issues.

Product & Warranty Claims Management

  • Handle product claims from outlets, warehouse, and customers.

  • Conduct quality assessment of physical products to determine claim eligibility.

  • Liaise with vendors regarding warranty claims, product returns, replacements, and compensation.

  • Monitor aging stocks and ensure product quality is not compromised.

  • Take preventive actions to minimize stock deterioration and operational losses.

  • Repair, clean, and manage salvageable items and spare parts inventory.

  • Coordinate proper disposal of goods in accordance with company policies and local regulations.

  • Maintain accurate tracking and documentation of all claims and related processes.

Sustainability, ESG Initiatives

  • Support execution of sustainability strategy and ESG roadmap.

  • Assist in environmental initiatives including carbon reduction, energy efficiency, waste and water management.

  • Collect, consolidate, and analyse ESG data (e.g. emissions, energy use, waste data).

  • Support internal teams (Operations, Procurement, HR, Facilities) in sustainability initiatives.

  • Contribute to sustainability projects such as recycling programmes, CSR initiatives and green initiatives.

Reporting, Documentation & Compliance

  • Prepare regular inventory control and stock movement reports.

  • Maintain accurate records of inventory transactions, stock take activities, and warranty claims.

  • Utilize Excel and data analysis tools to generate reports and operational insights.

  • Ensure proper filing and maintenance of documents for audit and compliance purposes.

Ad-Hoc Support & Cross-Functional Collaboration

  • Provide operational support during sales events and company activities.

  • Work closely with Retail, Warehouse, and Operations teams to support business needs.

  • Perform other duties and ad-hoc assignments as assigned by the Management from time to time.

Requirements:

  • Diploma in Supply Chain, Logistics, Business Administration, or related field.

  • Preferably at least 1 year of relevant working experience in inventory, warehouse, purchasing, or operations support.

  • Familiarity with ERP systems and inventory management processes is an advantage.

  • Proficient in Microsoft Office applications, especially Microsoft Excel.

  • Good analytical, problem-solving, and organizational skills.

  • Strong communication and interpersonal skills with the ability to work effectively with different stakeholders.

  • Detail-oriented, responsible, and able to work independently in a fast-paced environment.

  • Positive attitude with willingness to support operational and business requirements.
