Brief introduction of department and role of the team
The Medical Records Office (MRO) plays a critical role in managing patient information and ensuring compliance with legal and institutional requirements. The Digitisation Team supports the transition from paper-based records to electronic medical records, enabling faster access, secure storage, and improved patient care.
Job scope and key responsibilities
Assist in the preparation, scanning, and indexing of patient medical records for digitisation.
Perform quality checks to ensure accuracy and completeness of scanned records.
Support the classification and organisation of medical documents in the Electronic Medical Records (EMR) system.
Assist with early destruction of records (in accordance with retention schedules) to save storage costs and optimise use of physical space.
Participate in workflow improvement projects, such as enhancing scanning efficiency and error reduction.
Collaborate with team members on projects related to paperless initiatives and digital transformation within MRO.
Learn and apply best practices for handling confidential patient information in compliance with the Evidence Act and data protection policies.
Requirements
Detail-oriented and able to work with accuracy.
Strong organisational skills and ability to follow structured workflows.
Comfortable using computers, scanners, and document management systems (training will be provided).
Responsible and able to maintain confidentiality of patient information.
Interest in healthcare operations, information management, or digital transformation will be an advantage.
