Job Description

Role Purpose (Why do we need this role)

To assist with the administration of all insurance policies, insurance declarations, payments and certificates for Swire Shipping (SSL) and Swire Bulk (SB) and certain related entities (including Steamships Limited).

Role Accountabilities (What is this role responsible for delivering)

The Insurance Executive will be responsible for the administration of all declarations and certificates of marine and non-marine insurance across the SSL and SB companies and certain related entities. They will work with all departments in Singapore, all branches and subsidiaries within Swire Shipping and Swire Bulk on all data related to the fleet insurance and will personally be responsible for accurate data processing and recording to create and maintain insurance vessels databases. The individual will also be responsible for collaborating with the Swire Digital Centre (in India) to work on digital solutions that will increase the efficiency and efficacy of the Insurance team, such as insurance invoice-checking/payment process.

Policy Administration and Management

  • Collaborate with brokers and internal stakeholders to ensure the efficient collection, processing, and maintenance of the vessel insurance data.
  • Maintain and update invoices and credit notes register for all insurance types.
  • Maintain databases for all certification for vessel insurances including P&I, H&M, COFR, WRC, bunker blue cards etc. in collaboration with SSL and SB fleet departments and third-party ship managers.
  • Maintain and update the Insurance intranet webpages for both SSL and SB.
  • Collect and tabulate annual insurance renewal progress and information from all overseas offices and subsidiaries.
  • Arrange and coordinate loss prevention seminars and workshops for the relevant stakeholders in SSL and SB such as commercial, operations, fleet departments etc.

Vessel Declarations

  • Track and provide real-time updates to internal teams regarding our active databases for owned vessels and third-party tonnage and keep accurate records for every vessel coming on or off risk.
  • Maintain strict discipline to keep records on a daily basis to ensure that all vessels on/off risks are promptly recorded.
  • Submit additional War Risk and INL declarations for owned and chartered-in fleet.
  • Assist in developing and maintaining a system/process that allows for accurate declarations to the Clubs for chartered-in fleet.

Business Partnering

  • Build collaborative relationships and ensure that all databases are well-maintained for both internal and external key stakeholders to achieve business objectives.
  • Analysis of statistics to provide full overview, highlight key issues with declarations and records to the relevant stakeholders and assist with improving of the existing registers.

Reporting

  • Independently prepare and communicate main issues with declarations/certificates/all other records during weekly team discussions.
  • High risk area reporting, additional premium war breach rates Record and conscientiously upkeep all internal records, maintain inhouse database of applicable war breach rates for immediate sharing with insurance team.
  • Navigational limits Upkeep all internal records for future references.
  • Invoice register and premiums payments Maintain the invoice register. Update, track and coordinate with relevant departments to ensure timely authorisation and processing of payments.

Qualifications

Degree in relevant discipline

Technical Skills

At least 1 to 2 years experience working in insurance / claims / vessel operations / fleet management department.

Professional Skills

  • Highly organised, with the ability to develop and maintain effective systems and scrupulous records.
  • Effective communicator both verbal and written with the ability to liaise directly with internal and external teams.
  • Ability to take responsibility for output and results.
  • Results focused.
