Job Summary

Work alongside the External Sales team to build customer relationships by efficiently producing technical quotations and converting them into orders. Manage order processing and communication to ensure timely delivery and customer satisfaction.

Responsibilities

Inside Sales Responsibilities:

  • Deliver exceptional customer service by responding swiftly and accurately to all customer queries within agreed timescales
  • Produce sales quotations, pre-qualification documents, technical proposals, and other customer-required information accurately and timely
  • Ensure all quotations, technical documentation, and customer purchase orders are accurate before submission to Contracts for booking
  • Track and follow up on outstanding quotations within agreed timescales and report status accordingly
  • Maximize potential business from key accounts and new customers by identifying opportunities
  • Apply existing procedures to resolve routine or standard customer issues
  • Collaborate effectively under supervision and direction from the Customer Service Manager

Contract Engineering Responsibilities:

  • Organize and provide diagrams, drawings, and plans as required by order conditions
  • Review factory Order Confirmations to verify accuracy of all data
  • Monitor sales order promise dates and adjust as needed based on purchasing updates to prevent late deliveries
  • Communicate with factory contacts on delivery issues and escalate to Operations Manager when necessary
  • Perform day-to-day purchasing tasks including regular supplier expediting to ensure on-time delivery
  • Run delivery performance reports to evaluate supplier performance
  • Coordinate technical schematics, drawings, and administrative responses for project contracts and sales orders

Required competencies and certifications

  • Strong customer service experience with at least 3 years in relevant roles involving basic concepts and procedures
  • Effective communication skills to engage customers and internal teams clearly and professionally in English, both written and oral
  • High accuracy in data input and documentation management
  • Ability to work independently and collaboratively within a team environment
  • Strong multitasking, time management, and planning skills
  • Diplomatic interpersonal skills when interacting with staff, customers, and suppliers
  • Proficient in Microsoft Office® and capable of using proprietary software systems
  • Knowledge of international business and logistics practices
  • Experience working in a contractual environment with understanding of contract law implications
  • Good technical knowledge of mechanical and electrical concepts

Preferred competencies and qualifications

  • Knowledge of C.A.D. and/or Solid Edge or other design software packages
  • Experience using ERP systems
  • Degree or technical qualification in engineering or related field (entry-level acceptable)
