Job Description

Roles & Responsibilities

The HR / Admin Executive is responsible for full HR administration, regulatory compliance, and operational support in a licensed security company.

Core Responsibilities:

  • Handle end-to-end Human Resource and administrative functions for security operations

  • Answer and manage all incoming office calls, including staff, clients, sites, and regulatory bodies

  • Act as first point of contact for security officers regarding attendance, deployment, leave, and HR matters

  • Manage recruitment, onboarding, deployment, and exit processes for security personnel

  • Prepare employment contracts, confirmation letters, disciplinary letters, and HR documentation

  • Maintain accurate employee records, licensing status, and personnel files

Security Industry & Compliance Responsibilities:

  • Ensure compliance with PRD and MOM requirements

  • Track and monitor security officer licences, training validity, and renewal deadlines

  • Support PRD inspections, audits, and document submissions

  • Liaise with PRD, MOM, training providers, and relevant authorities when required

  • Assist with Work Permit applications, renewals, cancellations, and MOM reporting

Operational & Payroll Support:

  • Coordinate with Operations team on manpower deployment and scheduling

  • Collect and verify attendance, overtime, and relief deployment records

  • Prepare payroll inputs and ensure accurate submission to payroll processor

  • Handle leave tracking, medical certificates, and absenteeism reporting

Administrative Duties:

  • Maintain office records, filing systems, and HR trackers

  • Draft emails, internal memos, and official correspondence

  • Support management with HR reports and compliance documentation

Requirements:

  • Diploma or Degree in Human Resource Management, Business Administration, or related field

  • Experience in security, manpower, or operations-based industries is strongly preferred

  • Familiar with PRD and MOM regulations or willing to learn quickly

  • Able to handle high call volume and operational issues professionally

  • Organized, firm, and able to manage confidential information

  • Comfortable working in a fast-paced, compliance-driven environment
