Overview:
Archisen is seeking a hands-on People & Operations Manager to ensure the smooth day-to-day functioning of our organisation across people operations and internal processes in both Singapore and Malaysia.
This is a high-ownership execution role responsible for maintaining operational continuity (payroll, hiring, contracts) while improving internal systems and workflows across a cross-border team.
The role will work closely with the CEO and leadership team and may expand into broader operational or strategic responsibilities over time.
Responsibilities:
People Operations (Core Responsibility)
Own end-to-end employee lifecycle across Singapore and Malaysia. Manage and maintain employment contracts and documentation for both jurisdictions. Coordinate monthly payroll with external vendors (Singapore + Malaysia). Maintain accurate employee records, compensation data, and org structure. Ensure compliance with Singapore and Malaysia labour regulations and statutory requirements.
Internal Operations & Process Management
Build and maintain internal trackers. Standardise and document SOPs. Ensure key processes are executed reliably and on time. Identify and resolve operational gaps or inefficiencies.
Recruitment & Hiring Execution
Coordinate hiring processes across both Singapore and Malaysia. Track hiring pipelines and ensure timely follow-ups. Work with hiring managers to ensure smooth candidate experience.
Vendor & Administrative Management
Manage external HR/payroll vendors across Singapore and Malaysia. Ensure SLA adherence and accuracy of outputs. Coordinate with finance on payroll, reimbursements, and employee-related payments. Support basic office/admin operations where required.
CEO & Leadership Support (Growth Scope)
Support CEO on execution tracking across key initiatives. Assist in preparing internal reports (headcount, hiring status, org updates). Take ownership of cross-functional coordination when required.
Requirements:
Degree in Human Resource Management, Business Administration, Management, or a related field.
4 to 7 years of experience in People Operations / HR Operations / Business Operations
Familiarity with Singapore HR practices and statutory requirements. Familiarity with Malaysia HR practices. Ability to coordinate across both jurisdictions and manage cross-border workflows.
Structured thinking. Able to organise information and build simple, effective systems.
Strong execution discipline. Detail-oriented, reliable, follows through consistently
Strong written and verbal English able to work with stakeholders across Singapore and Malaysia.
Comfort with ambiguity. Able to operate in a lean, evolving organisation.
