Human Resource Executive

The Human Resource Executive is responsible for supporting the full spectrum of HR and administrative functions, ensuring smooth day-to-day operations. This role includes payroll processing, statutory compliance, employee lifecycle management, and office administration, while contributing to employee engagement and organizational effectiveness.

Key Responsibilities:

1. Payroll & Compensation Management
. Process monthly payroll accurately and on time, including salary adjustments, bonuses, and deductions
. Ensure compliance with statutory requirements and company policies
. Maintain payroll records and resolve payroll-related queries from employees

2. Taxation & Statutory Compliance
. Prepare and submit annual tax reporting (IR8A) in accordance with local regulations
. Handle tax clearance for foreign employees (IR21), including timely filing and coordination with authorities
. Ensure compliance with all relevant labor laws and statutory requirements

3. Leave Management
. Administer employee leave records and ensure proper documentation
. Generate and maintain monthly leave accrual reports
. Support employees and managers with leave-related queries and policies

4. HRIS Management
. Maintain and update employee data in the HRIS system
. Ensure data accuracy, integrity, and confidentiality
. Generate reports and support system enhancements or implementations

5. Employee Lifecycle Management
. Coordinate onboarding processes, including documentation, orientation, and system setup
. Manage offboarding processes such as exit clearance, final payments, and exit interviews
. Ensure a smooth transition for new hires and departing employees

6. Recruitment & Talent Acquisition
. Support end-to-end recruitment activities including job postings, screening, interview coordination, and offer preparation
. Liaise with hiring managers to understand staffing needs
. Maintain candidate records and recruitment reports

7. Training & Development
. Coordinate and manage training programs and workshops, including scheduling, logistics, and communications
. Collect and track employee attendance and availability for training sessions
. Host and facilitate training sessions where required, ensuring smooth execution
. Serve as the point of contact for training-related queries and provide timely support to employees
. Maintain accurate training records and monitor employee development plans
. Support the implementation of learning and development initiatives

8. Employee Engagement
. Support planning and execution of employee engagement activities and events
. Assist in employee communication initiatives
. Contribute to fostering a positive workplace culture

9. Work Pass Administration
. Manage work pass applications, renewals, and cancellations
. Liaise with relevant authorities and ensure compliance with immigration regulations
. Track work pass expiry and ensure timely action

10. HR Reporting
. Prepare and submit monthly HR reports, including headcount, turnover, and other HR metrics
. Analyze HR data to support management decision-making

11. Group Medical Insurance Management
. Administer employee medical insurance, including enrollments, claims, and renewals
. Liaise with insurance providers and employees on coverage matters

12. Administrative & Office Support
. Oversee office facilities, maintenance, and vendor coordination
. Manage office supplies and general administrative duties
. Ensure a safe and well-maintained work environment

Qualifications & Requirements:
. Diploma or Degree in Human Resource Management, Business Administration, or related field
. Minimum 2 years of relevant HR and administrative experience
. Knowledge of local employment laws and HR practices
. Experience with payroll processing and HRIS systems
. Strong organizational and multitasking skills
. Good interpersonal and communication skills
. Proficiency in Microsoft Office applications and HR systems (e.g., Timesoft)
. High attention to detail and confidentiality
. Strong problem-solving and time management skills
