Job Summary
You will manage comprehensive HR administration, office and showroom support, IT coordination, and licensing compliance to ensure smooth operations and regulatory adherence, contributing to the company's growth and operational excellence.
Responsibilities
- Monitor staff attendance and maintain accurate employee records to support workforce management and compliance
- Manage onboarding documentation and coordinate staff insurance matters to facilitate seamless employee integration
- Administer the staff medical portal and process monthly HR invoices for timely submission to Accounts
- Assist in enforcing company policies and PDPA requirements to uphold organizational standards and data privacy
- Support the collection of annual ESG data to contribute to corporate sustainability reporting
- Monitor and order office stationery and pantry supplies to maintain operational readiness
- Answer incoming calls and handle general enquiries to ensure effective communication and customer service
- Coordinate servicing and maintenance for printers and office equipment to minimize downtime
- Manage water dispenser supply for showrooms and liaise with vendors to ensure consistent availability
- Assist in building maintenance coordination to maintain a safe and functional workplace environment
- Liaise with Singtel for broadband and telephone services to ensure uninterrupted connectivity
- Coordinate with external IT vendors for basic system support and data backup to safeguard business operations
- Assist in showroom utilities applications including SP account setup and termination to ensure compliance
- Support yearly fire certificate and lift renewal processes to maintain safety certifications
- Assist in preparation and submission of NEA packaging reports to meet environmental regulatory requirements
- Coordinate submissions to URA, JTC, and other authorities, following training, to ensure regulatory compliance
Required competencies and certifications
- Diploma in Human Resource Management, Business Administration, or related field
- Familiarity with Singapore employment practices and statutory requirements
- Proficiency in Microsoft Office applications
Preferred competencies and qualifications
- Experience supporting retail or showroom operations
- Comfortable handling government portals and regulatory submissions (BCA, URA, JTC, NEA)
- Strong coordination, organisational, and time-management skills
