Job Description

  • Role Overview

    This role combines essential financial administrative tasks with human resource support to ensure the smooth operation of the company. The ideal candidate is proactive in resolving discrepancies and highly organized in managing statutory requirements.

    Key Responsibilities

    1. Finance & Accounts Support

    • Invoice Management: Review incoming invoices for accuracy and proactively follow up with vendors or relevant parties to rectify any wrong invoices.
    • Payment Monitoring: Track payment statuses and conduct regular follow-ups to ensure all accounts receivable are settled on time.
    • General Ledger Support: Assist with basic data entry and documentation to support monthly financial reporting.

    2. HR & Compliance Administration

    • Pass Renewals: Manage the administrative process for work pass renewals and ensure all employee documentation is valid and up to date.
    • Insurance Administration: Coordinate the renewal of corporate and staff insurance policies and assist with any related claims processing.
    • Employee Records: Maintain and update personnel files, ensuring all records are kept confidential and organized.

    3. Administrative Support

    • Administrative Assistance: Provide general support to the office, including handling correspondence, filing, and assisting with daily operational tasks
    • Executive Assistance: Support senior management with ad-hoc administrative tasks as required.

    Requirements

    • Experience: 1 to 2 years of experience in a combined HR/Finance or Administrative role.
    • Skills: Competent in using computers for daily administrative tasks, including email, spreadsheets, and word processing.
    • Communication: Excellent follow-up skills, with a professional manner when communicating with external vendors and clients.
    • Reliability: Able to manage time effectively, including the ability to remain responsive during Saturday morning WFH standby.
    • Attention to Detail: High level of accuracy in checking financial figures and legal documents.
