Position Overview
The HR & Office Admin Specialist is responsible for supporting the international human resources and office administration functions of the company. This role focuses on ensuring smooth HR operations and employee engagement alongside with efficient administrative processes and office management.
Key Responsibilities
Human Resources:
- Support end-to-end recruitment processes including job postings, screening candidates, coordinating for interviews, handle work pass applications and renewals, preparing offers, and onboarding.
- Maintain accurate employee records and HR databases.
- Assist in payroll processing, leave management, benefits and claims administration, and performance management and appraisals.
- Coordinate for internal communications and employee engagement activities.
- Act as a confidential avenue for employees to bring up inquiries, feedback, and grievances, and provide basic counselling support.
- Ensure compliance with local labour laws and company policies.
Office Administration:
- Oversee daily administration operations and office management including document management, correspondence, logistics coordination for meetings and internal events, facilities and office supplies procurement, and vendor liaison.
- Maintain and update office policies and procedures to ensure a safe, organised, and efficient work environment.
- Provide other ad-hoc duties as assigned by the company.
Requirements
- Bachelor's degree in Human Resources, Psychology or in a related field.
- Minimum 3 years of relevant work experience.
- Fluent in English and Mandarin to work with international company employees, including from Chinese-speaking countries/territories.
- Ability to work across multiple time zones independently and as a team.
- Possesses international work experience, not limited to South-east Asia only.
- Strong organisational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Experience working in a fast-paced and dynamic environment.
- Strong attention to detail and problem-solving skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
General Working Hours: Mondays to Fridays, 9 AM to 6 PM with overtime most days.
