As the firm continues to scale its assets under management and institutional presence, we are seeking a highly organized and proactive HR & Executive Office Associate to support the firm's operational infrastructure and executive office.
This role provides a unique opportunity to work closely with the founder and leadership team while contributing to the operational foundation of a growing hedge fund platform.
Role Overview
The HR & Executive Office Associate will support both internal operations and executive office functions, ensuring the smooth day-to-day running of the firm.
The role combines HR coordination, administrative operations, and executive support, and requires strong attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced investment environment.
Key Responsibilities
Executive Office Support
- Provide direct administrative and organizational support to the CIO.
- Manage executive scheduling, meeting coordination, and calendar management.
- Coordinate investor meetings, internal meetings, and external partner engagements.
- Assist with preparation of meeting materials, presentations, and documentation.
- Support travel planning, logistics coordination, and expense management.
HR & People Operations
- Assist with employee onboarding and offboarding processes.
- Maintain HR documentation including employment contracts, employee records, and internal policies.
- Coordinate recruitment logistics such as candidate scheduling and interview arrangements.
- Support payroll coordination and benefits administration with external service providers.
- Assist in maintaining employee handbook and HR compliance documentation.
Office & Operational Administration
- Manage general office operations and vendor coordination.
- Liaise with service providers including accountants, legal counsel, IT vendors, and corporate secretarial providers.
- Maintain company records and internal documentation.
- Assist with compliance documentation and operational due diligence materials when required.
- Support internal operational processes and administrative workflows.
Candidate Profile
Qualifications
- Bachelor's degree in Business Administration, Finance, Human Resources, or a related field.
- 25 years of experience in operations, executive support, HR coordination, or office management.
- Experience in financial services, asset management, or professional services is preferred but not required.
