Job Description

The HR & Admin Assistant will support the HR & Admin Manager in a wide range of human resource and administrative functions, playing an important role in ensuring smooth HR operations and providing efficient support to both employees and business needs. This role requires someone who is independent, meticulous, and able to work in a fast-paced environment with tight deadlines, while maintaining a strong service excellence mindset.

Key Responsibilities

Human Resources & Payroll Support

  • Maintain and regularly update employee records, personnel files, and HR databases accurately
  • Support end-to-end onboarding processes, including workstation setup, stationery, uniforms, and PPE (where applicable)
  • Assist in work pass applications, renewals, and cancellations
  • Post and maintain job advertisements across relevant recruitment platforms
  • Coordinate training activities, including course registration, approvals, scheduling, post-training evaluation, and record maintenance
  • Assist in monthly payroll processing, including data preparation, verification of attendance/claims, and ensuring timely and accurate payroll submission
  • Administer insurance claims processing (submission, follow-up, and coordination with insurers)


Administrative & Office Support

  • Coordinate meetings, company events, and other staff engagement activities
  • Manage office maintenance and housekeeping, including copiers, air-conditioners, water dispensers, and related equipment
  • Provide general administrative support and perform ad-hoc duties as assigned by the Manager

Job Requirements

Minimum Qualifications

  • Diploma in Human Resource Management or equivalent
  • 1 year of HR-related experience preferred


Skills & Competencies

  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Knowledge of Unit4 Prosoft HRMS will be an advantage
  • Good understanding of the Singapore Employment Act and local labour regulations preferred
  • Experience in payroll processing will be an advantage
  • Highly organised, meticulous, and able to work independently
  • Proactive with strong initiative and a sense of urgency
  • Able to perform under pressure in a fast-paced environment
  • Strong interpersonal and communication skills, with a service-oriented mindset
