Job Description

Job Title: HR & Admin Executive

Location: Singapore

Department: Human Resources / Operations

Reporting To: Head of HR

Job Summary

We are looking for a proactive and detail-oriented HR & Admin Executive to support daily HR operations, recruitment, and administrative functions. This role plays a key part in ensuring smooth workforce management, regulatory compliance, and office administration.

Key Responsibilities

Human Resources

  • Manage end-to-end recruitment process (job posting, screening, interview coordination, onboarding)
  • Handle work pass applications, renewals, and cancellations via MOM (WPOL)
  • Coordinate employee onboarding and offboarding processes
  • Maintain employee records, contracts, and HR documentation
  • Administer payroll inputs, leave records, and claims processing
  • Ensure compliance with MOM, ICA, and other regulatory requirements
  • Handle employee queries related to HR policies, benefits, and procedures

Operations & Crew Administration

  • Coordinate crew movements (sign-on / sign-off, flight arrangements, accommodation)
  • Liaise with authorities such as ICA, MPA, and MOM for crew-related matters
  • Track validity of work passes, landing passes, and medicals
  • Maintain proper documentation for audits and compliance checks

Administrative Duties

  • Manage office supplies, assets, and general office maintenance
  • Liaise with vendors, insurers, and service providers
  • Support management with reporting, documentation, and coordination tasks
  • Assist in company events, meetings, and staff welfare activities

Requirements

  • Diploma or Degree in Human Resource Management, Business Administration, or related field2-4 years of relevant HR/Admin experience (preferably in operations-intensive environment)
  • Familiar with MOM work pass system (WPOL), and Singapore labour regulations
  • Strong organizational and multitasking skills
  • Good communication and interpersonal skills
  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Ability to work independently and handle urgent matters efficiently

Preferred Skills

  • Experience in maritime / logistics / manpower-intensive industries
  • Familiarity with HRMS systems (e.g., Payday, Workday, etc.)
  • Experience handling foreign manpower and compliance
