Role Summary
We are seeking a detail-oriented and proactive HR &Admin Executive to support the full spectrum of HR operations, administrative functions, and compliance requirements. This role is pivotal in ensuring smooth employee lifecycle management, accurate payroll and statutory submissions, and efficient office administration. The ideal candidate is organized, resourceful, and able to balance both HR and administrative responsibilities while maintaining confidentiality and compliance with Singapore regulations.
Key Responsibilities
HR Operations
- Manage end-to-end HR processes including recruitment, onboarding, confirmation, and offboarding
- Assist with recruitment activities (job postings, interview coordination, candidate communications)
- Prepare offer letters, employment contracts, and HR documentation
- Apply for and renew all types of work passes in compliance with MOM regulations
- Maintain accurate employee records and HR documents in compliance with PDPA requirements
- Prepare and calculate staff and workers monthly salaries and wages
- Support payroll processing, including attendance tracking, leave records, overtime, claims, and CPF contributions
- Liaise with payroll vendors and ensure timely statutory submissions (CPF, IRAS, MOM)
- Assist with IRAS filings (IR21 & IR8A)
- File, claim, and track government-paid leaves
- Administer employee benefits, medical claims, insurance matters, and staff welfare activities
- Support performance appraisal exercises and training coordination
- Contribute to creating and improving HR policies, forms, and processes
- Handle general employee queries and provide HR administrative support
- Coordinate MOM surveys and reporting
- Support compliance with Singapore MOM regulations
Administration
- Provide day-to-day administrative
- Manage employee records, contracts, and filing systems (physical and electronic)
- Coordinate company events, meetings, and staff activities
- Book business travel and coordinate logistics
- Ensure proper segregation and confidentiality of HR and Admin data
Compliance & Governance
- Support compliance with internal controls, company policies, and governance requirements
Employee Engagement
- Get involved in employee engagement activities to foster a positive workplace culture
Requirements
- Diploma/Degree in Human Resources, Business Administration, or related field
- 2-4 years of HR and administrative experience, preferably in Singapore
- Strong knowledge of MOM regulations, CPF, IRAS filings, and PDPA compliance
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Excellent organizational skills with attention to detail
- Strong communication and interpersonal skills
- Ability to handle confidential information with discretion
- Proactive, resourceful, and able to work independently as well as in a team
