ALPAQ Seafood Processing Pte Ltd is a Singapore-based seafood processing and distribution company serving local F&B customers. As the company prepares for its next stage of growth, we are looking for a responsible, organised and detail-oriented HR & Admin cum Secretarial Executive to support our human resource administration, office administration, documentation, secretarial coordination and management support functions.
The successful candidate will play an important role in maintaining proper HR records, supporting recruitment and onboarding, coordinating payroll information, assisting with compliance documentation, and providing administrative and secretarial support to Management.
Key Responsibilities
Human Resource Administration
- Maintain employee records, personnel files, leave records, attendance records and HR documentation.
- Assist with recruitment coordination, including job posting, interview scheduling, candidate communication and onboarding preparation.
- Prepare and maintain HR documents such as employment contracts, appointment letters, confirmation letters, warning letters, resignation records and exit documentation.
- Coordinate monthly payroll information, including attendance, overtime, allowances, leave records, claims and other payroll-related inputs.
- Support CPF, employee insurance, training records and other employee-related administrative matters.
- Assist in MOM, work pass and employment-related documentation where required.
- Support the implementation and improvement of HR policies, staff handbook, SOPs and employee communication.
- Handle employee queries professionally and escalate sensitive matters to Management when necessary.
Administration & Office Support
- Provide general office administrative support to ensure smooth daily operations.
- Maintain proper filing systems for company documents, licences, certificates, agreements and correspondence.
- Coordinate with internal departments, external vendors, service providers and government agencies where necessary.
- Assist with office supplies, purchasing, insurance, renewals, maintenance records and administrative follow-up.
- Support company documentation, forms, reports, meeting materials and internal notices.
Secretarial & Management Support
- Provide secretarial and administrative support to Management.
- Arrange meetings, prepare meeting materials, take notes where required and follow up on action items.
- Assist in preparing letters, emails, reports, presentations and official documents.
- Maintain confidentiality of company, employee, customer and management information.
- Support Management in tracking deadlines, administrative matters and internal follow-up tasks.
- Perform any other HR, administrative or secretarial duties assigned by Management.
Requirements
- Diploma or equivalent qualification in Human Resource Management, Business Administration, Secretarial Studies or related discipline.
- Minimum 2 years of relevant HR, administration, secretarial or office support experience.
- Experience in payroll coordination, attendance records, HR documentation or MOM/work pass administration will be an advantage.
- Good knowledge of basic Singapore employment practices and HR administration.
- Proficient in Microsoft Office, especially Word, Excel and Outlook.
- Able to prepare proper letters, emails, documents and reports.
- Organised, detail-oriented, responsible and able to follow through on assigned tasks.
- Good communication and interpersonal skills.
- Able to handle confidential information with professionalism and discretion.
- Able to work independently while supporting Management and operational teams.
- Applicants must be legally eligible to work in Singapore.
Preferred Attributes
- Experience in SME, food processing, logistics, manufacturing or operations-based environment will be an advantage.
- Practical, hands-on and willing to support both HR and administrative duties.
- Able to communicate effectively with employees from different operational and cultural backgrounds.
- Positive working attitude, strong sense of responsibility and willingness to learn.
- Able to work in a fast-moving business environment.
