ROLE SUMMARY
The Head of Operations plays a central and cross-functional role at Galiena. You will oversee the end-to-end supply chain, drive off-trade sales strategy, manage financial and administrative oversight, and support marketing and educational initiatives. This is a hands-on leadership position that requires both strategic thinking and operational rigour, in a dynamic and entrepreneurial environment.
KEY RESPONSIBILITIES
Operations & Logistics
- Oversee the full supply chain: procurement, inventory management, warehousing, and distribution
- Ensure compliance with Singapore import/export regulations and customs requirements
- Optimise stock levels to balance supply and demand efficiently
- Coordinate with freight forwarders, warehouses, and logistics partners for timely, cost-effective deliveries
Off-Trade Sales & Business Development
- Develop and implement sales strategies for the off-trade sector: corporate events, retailers, e-commerce, embassies, specialty stores
- Build and maintain key account relationships, including pricing negotiations and promotional planning
- Track sales performance, analyse market trends, and adjust strategies accordingly
- Identify and develop new corporate client opportunities through partnerships with private banking, luxury companies, art galleries, and concierge services
- Represent the company at trade shows and industry events
Procurement & Pricing
- Contribute to the company's pricing strategy and its ongoing maintenance
- Monitor cost and pricing of fine wine stock with monthly revaluation
- Identify discrepancies in procurement or sales processes
- Manage non-wine suppliers and ensure cost increases are reflected in selling prices
Financial & Administrative Oversight
- Manage budgets, pricing structures, and profitability for off-trade sales
- Coordinate with finance for invoicing, payment follow-ups, and cost control
- Implement operational efficiencies to streamline processes and reduce costs
Team Leadership & Collaboration
- Lead and develop the team handling logistics, sales support, and account management
- Collaborate with the on-trade sales team to align overall business strategies
- Work with the marketing team on promotional campaigns for retail sales
Education & Marketing Support
- Assist in coordinating Galiena's WSET classes (Level 1, 2 & 3)
- Support the development of communication strategies for Galiena and its affiliates
- Contribute to social media, newsletters, e-commerce content, and brand presence
WHAT WE ARE LOOKING FOR
- 4-7 years of experience in operations, supply chain, or logistics, ideally in wine, F&B, or consumer goods distribution, with proven ability to manage complex supply chains and multiple stakeholders, and comfort with financial oversight (budgeting, pricing, cost control)
- WSET Level 2 minimum, with a solid understanding of French wine regions depth in Burgundy, Champagne, Loire, or Rhône is highly valued
- Strong organisational skills, data-driven mindset, and clear communication, written and verbal
- Proficiency in Google Workspace, Excel, or equivalent tools ERP/CRM experience and Adobe suite (Photoshop, Illustrator, etc.)
- French language skills are a plus
