Looking for your next big leadership move Our client is seeking a Head of Administration to oversee regional operations and governance, making an impact across international markets.
General Office Administration
- Lead day-to-day HQ and global office operations, including leasing, procurement, and facilities management.
- Oversee renovations, lease negotiations, and serve as the key liaison with building management.
- Manage corporate events and after-office functions to ensure smooth execution.
- Build scalable admin frameworks to support projects from launch through long-term operations.
Global Coordination
- Be the main link between Singapore HQ and global offices, ensuring smooth coordination across international teams.
- Manage bilingual documentation (English and Mandarin) and cross-border workflows for finance, legal and compliance matters
- Anticipate regional nuances, align schedules, and resolve bottlenecks for timely decision-making.
- Foster strong internal and external relationships, ensuring corporate processes meet governance standards globally.
Executive Affairs and Events
- Plan and execute high-level engagements such as board meetings, AGMs, townhalls, and investor visits.
- Oversea the planning of ministerial visits, stakeholder discussions, and milestone events, ensuring flawless execution and memorable experiences for senior stakeholders
- Handle executive travel planning, media appearances, and public relations initiatives.
- Manage event logistics, vendors, budgets, and risk to deliver polished, reputation-enhancing outcomes.
Corporate Governance and Entity Management
- Oversee the setup and governance of corporate entities and subsidiaries across multiple jurisdictions.
- Partner with external advisors to ensure timely filings, regulatory submissions, and compliance.
- Maintain accurate governance records, board resolutions, and statutory registers.
- Provide strategic advice on entity structuring, regulatory timelines, and governance best practices.
IT and Digital Infrastructure
- Partner with IT vendors to manage systems, access, and troubleshooting, while driving secure, scalable digital solutions that boost efficiency, collaboration, and automation across global teams.
- Oversee IT systems and office technology, ensuring security, compliance, and efficiency.
- Safeguard data and reinforce cybersecurity protocols across global operations.
- Act as the lead coordinator in IT incidents, managing vendors and remediation processes.
Requirements
- Bachelor&aposs degree in Business Administration or related field
- At least 10 years of relevant experience, including 5+ years in a senior administrative leadership role
- Demonstrated experience on incorporation and entity management across multiple countries.
- Familiarity with SPV structures and project-based corporate governance (is an advantage)
- Excellent communication, planning, and coordination skills, particularly across multi-cultural, cross-border teams.
- Proficient in English and Mandarin is a must to have
- Highly organized, diplomatic, and resourceful with the ability to navigate complex stakeholder environments.
- Only Singaporean / Singapore PR may apply due to project needs.
