About the Organization
DOT is a Company Limited by Guarantee (CLG) and an Institution of a Public Character (IPC) dedicated to our mission. We are looking for a highly organized and detail-oriented individual to join our team in a crucial support role. This position is vital for ensuring our organization operates with the highest standards of governance, accountability, and regulatory compliance.
The Role
This is a key support role in Risk Management and Compliance and Board Support. The position reports to the Head of Finance.
Key Responsibilities
1. Compliance and Board Support (Heavy Administrative Function)
. Annual Submissions:
Lead the preparation and coordination of annual regulatory submissions to entities like the Accounting and Corporate Regulatory Authority (ACRA) and the Commissioner of Charities (COC). This includes preparing the Annual Report, Financial Statements, Governance Evaluation Checklist (GEC), and Online Financial Summary (OFS).
. Record-Keeping: Maintain and update statutory registers, such as the Register of Members and Register of Directors.
. Board Support: Provide comprehensive support to the Board of Directors by preparing meeting materials and minuting meetings.
. Regulatory Liaison: Work with the external corporate secretary to ensure all statutory filings with ACRA are completed accurately and on time.
2. Risk Management (Strategic Function)
. Framework Development: Develop, implement, and maintain a robust risk management framework tailored to our non-profit.
. Risk Identification: Proactively identify and assess potential risks, including financial, operational, strategic, compliance, and reputational risks. Analyze the likelihood and impact of each risk to prioritize mitigation efforts.
. Policy Creation: Create and implement policies and procedures to mitigate identified risks.
. Culture of Awareness: Foster a culture of risk awareness throughout the organization by training staff and volunteers to identify and report risks.

A single compliance failure could lead to penalties, fines, or the revocation of charity status. . Communication: Excellent written and verbal communication skills for interacting with board members, senior management, auditors, and regulatory bodies.
. Time Management: Ability to organise and manage regulatory deadlines for filings with ACRA and COC.
. Information Management: Skilled in gathering, organizing, and synthesizing information from various departments for reports and filings.
. Proactive: A self-starter who can anticipate and take a proactive approach to solving them.
. Technical: Proficient with Microsoft Word, Excel.
