Roles & Responsibilities
1. Office & Administrative Management
. Manage daily office operations and administrative activities
. Maintain company records, project documents, and filing systems
. Coordinate communication between management, site supervisors, and workers
2. Human Resource Administration
. Monitor staff attendance, leave records, and manpower schedules
. Prepare employment contracts and maintain employee records
. Support recruitment, onboarding, and worker documentation
. Handle general HR matters and staff communication
3. Accounts & Financial Coordination
. Prepare daily and monthly operational reports
. Assist with invoicing, payroll coordination, and expense tracking
. Liaise with accountants for payroll, CPF submissions, and financial documentation
4. Project & Site Coordination
. Coordinate with site supervisors on daily work progress and manpower deployment
. Assist in scheduling site activities and project coordination
. Ensure proper submission of site-related documents and reports
5. Licensing & Regulatory Compliance
. Maintain company licenses, permits, and workers documentation
. Coordinate compliance matters with relevant Singapore authorities, including MOM and BCA
. Ensure proper documentation for workplace safety and regulatory requirements
6. Procurement & Inventory Support
. Monitor stock levels of construction materials and office supplies
. Coordinate purchasing activities and supplier communications
. Maintain supplier records, invoices, and delivery documents
7. Management Reporting & Support
. Prepare weekly and monthly reports for management review
. Provide administrative and operational support to directors and project managers
