Job Description

Woer is a leading global manufacturer of heat shrinkable materials, providing electromechanical insulation solutions for the automotive, electrical, utility, electronics, communications, power, petrochemical, aerospace and related industrial sectors.

We are urgently looking for a proactive and detail-oriented Administrative Assistant / General Affairs Specialist to support the daily operations of our Singapore office. The successful candidate will be responsible for office administration, general affairs, customer support, order coordination and other operational support duties.

This role is suitable for candidates who have administrative or clerical experience in a Singapore company and are comfortable handling multiple tasks in a small office or branch office environment.

Key Responsibilities

  • Handle daily office administration and clerical duties.

  • Manage document filing, data entry, records maintenance and general office paperwork.

  • Answer phone calls, handle enquiries and receive visitors or customers professionally.

  • Support daily office operations, including office maintenance, stationery procurement, courier arrangements, asset management and equipment coordination.

  • Assist with customer enquiries via phone, email or in person.

  • Support online and offline order processing, order tracking and customer follow-up.

  • Coordinate with logistics providers and internal teams to ensure timely delivery and accurate order fulfilment.

  • Assist with inventory-related tasks, including stock checking, replenishment records and out-of-stock alerts.

  • Support product display, restocking and basic store or office arrangement when required.

  • Assist with basic finance, HR and administrative support tasks as assigned.

  • Communicate with company management and China headquarters on daily operational matters.

  • Perform other general affairs or administrative duties assigned by management.

Requirements

  • Singapore Citizen.

  • Minimum 1 year of administrative, clerical, office support, general affairs or operations support experience in a Singapore company.

  • Experience in a trading company, industrial products company, sales office, retail office or branch office environment will be preferred.

  • Able to handle daily administrative work independently and responsibly.

  • Good communication and coordination skills.

  • Proficient in Microsoft Office, especially Word and Excel.

  • Able to communicate in English for daily office and customer-related matters.

  • Able to communicate in Mandarin to liaise with Mandarin-speaking management and China headquarters.

  • Detail-oriented, responsible, organised and able to multitask.

  • Positive working attitude and willingness to support different office and operational matters.

  • Experience with customer service, order processing, inventory management, accounting software or ERP systems will be an advantage.
