We are looking for a highly organized and resourceful General Administrator to be the backbone of our daily operations. In this role, you will wear many hats-from office management and executive support to IT liaison and culture champion. You will ensure that our physical and digital workspaces are efficient, our team is supported, and our operations are seamless. The ideal candidate is a master of prioritization who thrives in a fast-paced, ever-changing tech environment.
Office & Facilities Management
Manage the day-to-day operations of the office, ensuring a clean, safe, and productive work environment.
Oversee vendor relationships (cleaning, security, catering, maintenance) and negotiate contracts.
Manage office supply inventory, equipment, and snack/beverage programs.
Coordinate internal events, all-hands meetings, and team off-sites.
Administrative & Operational Support
Serve as the first point of contact for general inquiries (phone, email, front desk).
Manage and distribute company mail, packages, and deliveries.
Assist the Leadership Team with scheduling, travel arrangements, and expense reporting.
Support the onboarding process for new hires: order equipment, set up workspaces, and coordinate IT access.
Maintain company records, organizational charts, and policy documentation.
Finance & HR Liaison
Assist with basic bookkeeping tasks such as invoice processing, receipt tracking, and credit card reconciliation.
Coordinate with our external accounting firm to ensure timely payments.
Assist the People team with planning employee engagement activities and recognition programs.
Help organize compliance training and maintain employee files.
IT & Systems Coordination
Act as a liaison between staff and our managed IT provider to troubleshoot basic hardware/software issues.
Manage user accounts and permissions for SaaS tools (e.g., Gmail, Slack, Zoom, Notion) in coordination with the tech lead.
Maintain an inventory of company laptops, monitors, and peripherals.

Tech-Savvy: You are comfortable learning new software tools quickly. (Experience with Slack, G-Suite/Workspace, Zoom, and Notion is a plus).

Organized: You have a system for everything and can keep multiple projects moving at once without missing a beat.
5+ years of experience in administration, office management, or operations (experience in a startup or tech company is a strong plus).
Excellent written and verbal communication skills.
Strong proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets) and Microsoft Office Suite.
A no task is too small attitude combined with the ability to handle confidential information with discretion.
Basic understanding of budget management and expense tracking.
High school diploma required Bachelor's degree preferred.
