Key Responsibilities
Handle daily office administration tasks: printing, scanning, filing, sorting out documents.
Maintain office stationery/sample supplies and refreshment stock (tea / coffee / water / light snacks / general pantry management).
Type and prepare documents: quotation drafts, correspondence, internal memos, simple reports - using MS Excel.
Manage incoming and outgoing mail / courier parcels.
Assist with office/pantry housekeeping and ensure documents/files are organized and archived properly.
Maintain and update digital records/database (e.g. Excel sheets): track quotations, invoices, payment status, project documents.
Basic reception / phone handling duties: answer and screen calls, take messages, forward calls appropriately - must know basic phone etiquette.
Provide general support to project / admin team as needed: scheduling, follow-up communications, coordination with subcontractors or suppliers, ad-hoc errands.
Skills & Requirements
Computer literacy: MS Excel and Word.
Good phone etiquette and ability to handle calls politely and professionally.
Organized, detail-oriented, reliable, and able to manage multiple small tasks.
Able to handle physical tasks such as printing, filing, light lifting (stacks of documents, files, stationery).
Preferably some prior admin/office experience - but fresh candidates with good attitude and willingness to learn can also apply.
Good communication in English & Mandarin Chinese.
