Key Responsibilities Include:
. Assist in reconciling positions between physical and derivative trading portfolios in collaboration with internal stakeholders.
. Support the execution of procurement and sales contracts, including declaration processing and delivery coordination activities.
. Prepare, distribute, and complete contract documentation in accordance with established internal procedures and approval requirements.
. Maintain accurate trade and contract records across systems and supporting documentation.
. Coordinate with relevant departments to address operational matters and support smooth transaction execution.
. Assist with the reconciliation of positions between physical and derivative portfolios to support accurate exposure monitoring and reporting.
. Ensure timely and accurate trade entry into relevant systems and support regular position reconciliation activities.
. Investigate and help resolve trade discrepancies, breaks, or data inconsistencies in collaboration with internal teams and counterparties.
. Facilitate communication among commercial, operational, finance, and support functions to support issue resolution and effective workflow management.
. Support the administration and execution of procurement and sales agreements, ensuring activities are carried out in accordance with contractual obligations.
. Assist in coordinating declarations, deliveries, and related operational requirements with internal and external stakeholders.
. Work closely with cross-functional teams to support efficient contract execution and timely resolution of operational matters.
. Assist in the preparation, review, issuance, and completion of contractual documentation in line with company policies and business requirements.
. Support discussions and coordination relating to contract terms, amendments, and documentation requirements with relevant stakeholders.
. Maintain compliance with internal controls, governance procedures, and applicable regulatory obligations throughout the contract lifecycle.
. Support the timely preparation and distribution of trade confirmations, contract summaries, reports, and related documentation.
. Maintain data accuracy by reconciling information across systems and supporting documentation.
. Participate in data validation and record maintenance activities to ensure information integrity and audit readiness.
. Assist with counterparty onboarding activities, including documentation collection, verification, and internal approval processes.
. Support the preparation and submission of credit-related documentation and other pre-trade requirements.
. Build and maintain effective working relationships with internal and external stakeholders to facilitate efficient business operations.
. Bachelor's Degree in Finance, Economics, Mathematics, Business, Supply Chain, or a related discipline.
. Minimum 3 years of experience in trade operations, commodity trading support, contract administration, logistics coordination, or a related field.
. Understanding of commodity trading operations, including physical and derivative transactions.
. Knowledge of hedging principles, exchange-traded instruments, and risk management concepts would be advantageous.
. Familiarity with enterprise resource planning (ERP) systems and commodity trading and risk management platforms is preferred.
. Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
. Strong analytical, organizational, and problem-solving skills with attention to detail.
. Effective communication and stakeholder management skills, with the ability to work collaboratively across functions.
. Ability to manage multiple priorities and meet deadlines in a dynamic business environment.
