A Front Office Associate is responsible: for managing the front desk and reception area, serving as the initial point of contact for our clients and visitors, and ensuring smooth office operations. They handle administrative tasks, manage phone calls, schedule appointments, and provide excellent customer service.
Key Responsibilities:
- Welcoming and Greeting: Greet visitors and clients, providing a positive first impression.
- Communication: Manage incoming phone calls, answer inquiries, or direct calls to the appropriate people or departments.
- Scheduling and Coordination: Coordinate appointments and meetings, including scheduling and sending reminders.
- Administrative Support: Perform various clerical tasks such as filing of documents, data entry, managing mail, maintaining records, and ordering & manage office supplies.
- Email Management: Respond to emails, address inquiries, and forward messages.
- Delivery Coordination: Coordinate the receipt of packages and deliveries.
- Customer Service: Provide efficient and courteous customer service, addressing inquiries and resolving issues.
- Maintaining the Reception Area: Ensure the reception area is tidy, organized, and welcoming.
- Payment Processing: Accept payments, process transactions, issue receipts using our in-house software and manage the cash drawer and be accountable to our Finance and Treasurer.
Must be able to work on Sunday and afternoon shift from 1pm to 10pm.
