Responsibilities
- Serve as the first point of contact, welcoming clients, visitors, and business partners with professionalism and discretion.
- Manage front office operations, including answering, screening, and directing incoming calls and handling general inquiries.
- Coordinate meeting room scheduling, ensuring all meeting spaces are well-presented, prepared, and appropriately equipped.
- Receive, log, and distribute incoming mail, couriers, and deliveries in a timely manner.
- Support the onboarding of visitors and new joiners, including issuing access passes and coordinating with building security.
- Monitor office supplies and pantry inventory, placing orders to ensure uninterrupted office operations.
- Liaise with building management, service providers, and vendors to address facilities, maintenance, and operational matters.
- Provide general administrative and operational support as required by the Office Manager and Singapore leadership team.
Requirements
- Relevant front office, receptionist, or administrative experience, preferably within the financial services or asset management industry.
- Professional demeanor with strong interpersonal and communication skills able to interact confidently with senior stakeholders and clients.
- Strong organizational skills with the ability to multitask, prioritize, and manage a fast-paced office environment.
- Proficient in Microsoft Office applications (Word, Excel, Outlook) and familiar with office management systems.
