About the Role

This role entails the end-to-end management of 10 in-person events for The Straits Times readers and subscribers.

The events are part of National Library Board's national movement, ReadSG - to make reading a lifelong habit and a shared culture that nurtures curious minds, critical thinkers and informed citizens.

Scheduled for October 29 and followed by another nine monthly events happening from January till October 2027 (exact event dates to be determined).

The Events Project Manager will lead all coordination, production, and stakeholder engagement, with an immediate start date required to study and oversee the upcoming event in October.

Please note that the assignment is from October 2026 till November 2027.

Roles & Responsibilities

Project Planning

  • Align event objectives, scope, and metrics with stakeholders
  • Coordinate and collaborate with internal and external stakeholders
  • Develop comprehensive project plans and detailed timelines
  • Provide regular updates on project development to stakeholders

Budget and Financial Management

  • Develop, meticulously track, and manage event budgets
  • Negotiate and formalise vendor/supplier/venue contracts
  • Process invoices and manage payment schedules with the admin department

Stakeholder and Communication Management

  • Serve as the primary contact for internal teams, external vendors and sponsors
  • Coordinate with speakers and sponsors (pre-event briefing, on-site logistics)
  • Ensure timely and clear communication

Marketing Coordination

  • Collaborate with internal stakeholders on publicity, content, and registration
  • Manage pre- and post-event attendee communication

Registration and Customer Journey Management

  • Design and implement effective registration systems and workflows
  • Ensure the registration flow is clear, user-friendly, and aligned with subscriber access requirements, and provide comprehensive FAQs.
  • Coordinate confirmation emails, reminders, access links and on-site check-in processes
  • Manage attendee queries, lists, capacity tracking and data accuracy in collaboration with relevant teams

Venue & Production Management

  • Oversee event branding, layout, staging, lighting, AV, and all technical requirements
  • Supervise production houses and fabricators to ensure high-quality execution

Event Operations & Execution

  • Establish resource needs
  • Lead all on-site activities, including setup, rehearsals, event operations, and teardown
  • Develop scripts
  • Develop slides/presentations
  • Briefing and coordinating the emcee, speakers, and crew
  • Audience engagement activities
  • Supervise vendors, contractors, and on-site crew

Post-Event Analysis and Reporting

  • Conduct thorough post-event reporting: attendee feedback analysis and actionable recommendations for future improvements
  • Systematically archive all event documentation and media assets

Who we are looking for

  • Able to effectively communicate in English, both in written and verbal form in a professional setting
  • Diploma. New graduates welcome but with some experience in events management or administrative role supporting senior leadership
  • Stellar interpersonal and communication skills
  • Ability to build relationships with key stakeholders
  • Detail-oriented with good time management skills
  • Ability to prioritise work in a fast-paced, quickly changing environment
  • Takes initiative, anticipates needs, and exercises independent/sound judgment.
  • Discretion and confidentiality
  • Intermediate Microsoft Office Suite proficiency e.g. Excel, Word and PowerPoint
