We're looking for a CEO Office Intern to support the CEO and leadership team at Griffin Labs—a pre-seed embodied AI and robotics company building intelligent machines for facilities management in Singapore. You will help keep cross-functional work moving, strengthen internal operations, and produce clear research and briefing materials so the CEO can stay focused on strategy, partners, and key decisions.
This is a hands-on role with real ownership: the coordination rhythms, ops artifacts, and briefs you maintain will directly affect how engineering, operations, fundraising, and go-to-market work stay aligned. You should be organized, comfortable in a fast-moving technical startup, and eager to learn how a CEO office operates at the frontier of physical AI.
The role is an internship based on-site in Singapore for 3–6 months. You will report primarily to the CEO and may take direction from operations on specific internal ops and execution tasks.
What you'll do
- Support cross-functional coordination: track priorities and dependencies across engineering, simulation, hardware, software, HR, and marketing; prepare meeting agendas, notes, and follow-up action lists; chase status on agreed deliverables without dropping threads
- Help run internal ops rhythms: maintain lightweight trackers for hiring, vendor or procurement steps, key milestones, and leadership OKRs or initiative lists; keep shared folders, templates, and version labels tidy so others can find the latest source of truth
- Prepare research and briefing materials for the CEO: short memos on markets, competitors, partners, policy or facilities trends, and technical topics (robotics, embodied AI, deployment models) with clear sources and a recommended point of view
- Draft and polish written updates—board-style summaries, investor or partner meeting prep, one-pagers, and internal status notes—with consistent structure and accurate facts
- Coordinate logistics for high-stakes meetings and visits: scheduling, attendee lists, pre-reads, room or site setup checklists, and post-meeting action capture
- Assist operations with defined tasks (events, exhibitions, investor visits, facilities pilots) when the CEO delegates execution detail to the ops team
- Handle sensitive information with discretion; flag blockers early and escalate when decisions or external commitments are needed
What we're looking for
- Currently pursuing or recently completed a degree in Business, Economics, Engineering, Public Policy, or a related field—or equivalent demonstrated experience through internships or projects
- Strong written English: crisp structure, correct detail, and ability to turn messy inputs into readable briefs and summaries
- Working proficiency in Excel or Google Sheets for simple models, trackers, and status tables; comfort learning Notion, Google Workspace, or team tools quickly
- Organized, reliable, and able to manage multiple threads with clear prioritization and follow-through
- Able to engage with technical topics at a research-and-synthesis level (you do not need to be an engineer, but you should not be intimidated by robotics, AI, or deployment terminology)
- Professional presence and good judgment in a small, high-trust team; comfortable working on-site in Singapore full-time for the internship term
Nice to have
- Prior internship or project experience in a startup, venture capital, consulting, or founder-adjacent role
- Exposure to fundraising, investor relations, or partnership development (data rooms, cap tables at a basic level, meeting prep)
- Familiarity with facilities management, hospitality, airports, or other operationally complex commercial environments in Southeast Asia
- Coursework or side projects touching robotics, AI, or hardware—enough to read engineering updates with context
- Experience supporting events, site visits, or cross-functional program coordination
