Job Summary

Coordinate art logistics projects by preparing job instructions, managing schedules, and liaising with clients and teams to ensure safe, compliant installation and transport of artworks.

Responsibilities

  • Prepare and maintain detailed job instructions for installation, packing, transport, and storage to ensure clarity and compliance with operational standards
  • Coordinate manpower, equipment, and resources with operations, warehouse teams, and crew leaders to optimize project execution
  • Develop and manage job schedules, risk assessments, and method statements aligned with safety and quality standards
  • Ensure artworks are handled, transported, and installed following Crown Fine Art handling and safety protocols
  • Serve as the primary client contact for museums, galleries, institutions, and private collectors, providing timely and professional updates throughout project phases
  • Support preparation of quotations, service proposals, and respond to billing queries in collaboration with internal teams
  • Attend onsite installations, de-installations, and client events as required to oversee quality and client satisfaction
  • Complete accurate condition reports with written observations and photographic evidence to document artwork status
  • Monitor onsite activities to ensure quality outcomes and alignment with client expectations
  • Prepare and maintain comprehensive job files, shipping documentation, job sheets, and completion reports for operational transparency
  • Update systems and trackers including Crown Interact, SharePoint, and CRM platforms (e.g., Salesforce) to maintain accurate records
  • Support management of insurance documentation and client paperwork to ensure compliance
  • Coordinate specialist packing, crate construction, and storage requirements with operations teams to protect artworks
  • Assist warehouse activities including receiving, labelling, and storing artworks to maintain inventory accuracy
  • Monitor scheduled use of temperature-controlled vehicles and routing plans to safeguard artwork condition during transport

Required competencies and certifications

  • Minimum 3 years of experience in art logistics, gallery or museum operations, project coordination, or related fields
  • Proficient in Microsoft Office applications to support documentation and communication
  • Proficient in English (written and spoken) to facilitate client communication and operational coordination

Preferred competencies and qualifications

  • Exposure to installation planning, art handling, or logistics coordination
  • Working knowledge of art handling, packing, or installation processes (training can be provided)
  • Experience with SharePoint and CRM platforms such as Salesforce
  • Ability to interpret floor plans, installation drawings, or technical diagrams
  • Additional language skills to support international clients, artists, or vendors
  • Strong organisational, coordination, and scheduling skills demonstrated through managing complex projects
  • Clear and professional communication skills with a client-focused approach
  • High attention to detail and effective time management in dynamic environments
  • Ability to remain composed and solution-oriented under pressure
  • Collaborative team player with a proactive, hands-on mindset

Other Information

  • Able to provide occasional onsite support as part of project requirements with reasonable adjustments available
  • Willingness to work flexible hours including early mornings, evenings, or weekends as site needs arise
