Role Overview

We are seeking a Finance Executive with a primary focus on Finance Ops activities with secondary responsibilities in supporting digitalisation initiatives. This role is ideal for someone who thrives in a dynamic environment, values accuracy, and is eager to contribute to modernising financial processes.

Key Responsibilities

Finance Ops - AR, GL, Fixed Assets & Grants Management

  • Ensure timely and accurate billing, invoicing, collections, and reconciliation.

  • Monitor outstanding receivables and manage cash flow effectively.

  • Liaise with internal and external stakeholders to resolve discrepancies promptly.

  • Manage journal entries, accruals, adjustments, reclassifications, and monthly GL reconciliations (e.g., bank, intercompany, suspense/clearing accounts).

  • Support the month-end and year-end close by preparing schedules, validating balances, and providing audit-ready documentation.

  • Maintain the fixed asset register, including capitalisation, disposals, depreciation, transfers, and periodic physical verification.

  • Prepare fixed asset reports for budgeting, forecasting, and audits while ensuring compliance with accounting standards and internal policies.

  • Oversee grant financials, including budget tracking, disbursements, claims, utilisation, and compliance with funding agency requirements.

  • Prepare and submit grant reports and reimbursement claims with complete supporting documents, resolving discrepancies with program teams and grantors.

Financial Reporting & Internal Controls

  • Maintain accurate financial records, documentation, and schedules to meet audit, regulatory, and internal compliance requirements.

  • Identify gaps in processes, documentation, and internal controls, recommending improvements to the Finance Manager/Head of Finance.

  • Prepare periodic financial reports, support month-end reporting activities, and ensure timely submission of reconciliations and compliance deliverables.

Accounts Payable Support

  • Assist during peak periods or when AP resources are unavailable.

Digitalisation & Process Improvement

  • Use Xero and Airwallex systems for efficient financial management and reporting.

  • Work with the Finance Manager on projects to digitise QuotetoCash (Q2C) processes and donor management systems.

  • Identify opportunities to automate reconciliations, dashboards, and workflows to improve accuracy and timeliness.

Team Collaboration

  • Work closely with cross-functional teams to support financial operations and continuous improvement initiatives.

Reporting to: Finance Manager and Head of Finance

Requirements

  • 2-3 years of relevant experience (non-profit, startup, or SME experience preferred).

  • Degree in Accounting, Finance, or related field (or equivalent experience).

  • Proficiency in Xero and familiarity with the Airwallex ecosystem.

  • Advanced Microsoft Excel skills and willingness to learn new systems.

  • Strong attention to detail, ability to manage multiple priorities, and adapt to a fast-paced environment.
