Job Description

Job Summary

Manage and oversee comprehensive financial operations across Kindergarten, Childcare, and Weekend Madrasah programs, ensuring accurate invoicing, payment processing, payroll, and financial reporting to support organizational efficiency and compliance. Also oversee the HR processes across centres.

Responsibilities

  • Generate and issue invoices for fee collection using LittleLives and Taidii school management systems to ensure timely payments
  • Update and reconcile daily financial transactions in Xero accounting software to maintain accurate financial records
  • Collaborate with admin officers to manage fee collections, GIRO applications, and sales of uniforms, workshops, and graduation payments, ensuring smooth financial operations
  • Administer Cavenur Kindergarten Financial Aid and track school and centre expenses to support budget management
  • Process payments for invoices, subscriptions, petty cash disbursements, and zakat contributions promptly and accurately
  • Coordinate with external accountants to prepare monthly financial reports, yearly financial statements, and taxation documents for compliance and audit readiness
  • Process employee claims and reimbursements using Carbonate HR software to ensure timely and accurate payroll management
  • Liaise with MSF regarding Child Development Account (CDA) usage and fee-related matters to maintain regulatory compliance
  • Ensure proper digital and physical archiving of financial documents to support record retention policies
  • Prepare bookkeeping documents and records for Weekend Madrasah financial management
  • Analyze monthly financial data and report to management to ensure budget adherence and support financial forecasting
  • Oversee HR department processes including hiring, recruitment, onboarding, and talent search to support centre staffing needs

Preferred competencies and qualifications

  • Diploma or Degree in Finance or equivalent with foundational knowledge in accountancy
  • Diploma in HR will be an advantage
  • Proficient in Microsoft Office applications, especially Excel, to analyze and manage financial data
  • Comfortable managing IT and online financial systems to enhance operational efficiency
  • Strong verbal and written communication skills to liaise effectively with internal and external stakeholders
  • Ability to multitask and manage multiple financial processes simultaneously
  • 5 to 6 years of experience handling financial matters and administration in school centres (childcare and student care) as well as in matters pertaining to HR.
  • Familiarity with Xero and Carbonate software is advantageous
  • Experience managing school finance and financial systems is a plus
