About the Role:
We are seeking a highly motivated, dedicated and proactive Finance and Admin Executive to join our team. The ideal candidate shall support our daily operations across finance, administration and logistics coordination.
This role offers broad exposure to business operations and is ideal for someone who is eager to learn, grow and take on increasing responsibilities in a dynamic and fast-paced environment.
Key Responsibilities:
1. Finance & Bookkeeping
- Handle daily bookkeeping and maintain accurate financial records
- Prepare monthly reconciliation of AP/AR, bank statements, and quarterly GST preparation
- Support preparation of monthly management accounts and financial reports
- Coordinate with external accountants, auditors, and vendors when required
- Verify supplier invoices, track payments, and ensure timely settlement
- Maintain proper filing of accounting documents and support compliance requirements
2. Logistics Coordination
- Liaise with suppliers, forwarders, and warehouse partners on delivery arrangements
- Prepare DO/PO, ensure accurate shipment records, and track deliveries end-to-end
- Coordinate international sales orders from distributors and agents
- Handle export documentation (invoices, packing lists, COC, shipping instructions)
- Liaise with freight forwarders to ensure timely and cost-effective shipments
- Manage pricing, quotations, and sample requests for sales teams
- Monitor inventory levels and coordinate stock replenishment
- Ensure timely coordination of shipments
Requirements:
- Diploma or Degree in Accounting, Business Administration, or related discipline
- 1-3 years of relevant experience in finance/logistics (preferably in electronics, lighting, or technical products)
- Strong coordination and multitasking skills
- Good communication skills and a positive learning attitude
- Proficient in Microsoft Excel, Word, and basic accounting tools like Quickbooks
- Bonus: Experience working with European partners or markets
