Job Description

Senior Finance & Administration Executive

Singapore

This is an ideal opportunity for someone who enjoys creating order, improving systems, working closely with leadership, and taking ownership of a broad finance and administration portfolio.

Your Mission

To ensure the company's finance and administrative operations run accurately, efficiently and with strong internal controls, allowing leadership to focus on growing the business.

You will own the day-to-day finance operations while working closely with the CEO, CFO and external accountants.

Key Responsibilities

Finance Operations

  • Manage the company's full Accounts Payable (AP) and Accounts Receivable (AR) functions
  • Prepare payment schedules for management approval
  • Perform bank reconciliations across all company bank accounts
  • Prepare monthly journal entries, accruals and prepayments
  • Support month-end and year-end closing
  • Maintain accurate General Ledger records
  • Prepare management schedules for external accountants
  • Assist with GST submissions, audit schedules and statutory reporting
  • Track customer outstanding balances and vendor payments
  • Maintain fixed asset register
  • Monitor petty cash and expense claims
  • Commission reconciliation and report

Cash Flow & Financial Reporting

  • Update weekly cash flow reports
  • Prepare weekly cash position summaries
  • Monitor receivables and collections
  • Track upcoming financial commitments
  • Assist management in maintaining rolling cash flow forecasts
  • Highlight unusual financial movements or discrepancies promptly

Inventory & Financial Control

Working closely with Operations, you will:

  • Reconcile inventory movements
  • Track inventory valuation
  • Monitor consignment inventory records
  • Maintain security deposit records
  • Track outstanding client balances
  • Reconcile returned gowns against financial records
  • Assist with inventory ageing reports
  • Support inventory audits

Administration

  • Manage company insurance renewals
  • Maintain company licences and regulatory documents
  • Prepare employment documentation
  • Coordinate office administration
  • Manage vendor contracts
  • Support HR administration
  • Organise finance and legal documentation
  • Maintain filing systems and document controls

Process Improvement

  • Improve finance workflows

  • Support ERP and accounting system improvements

  • Compliance with company approval limits
  • Accurate record keeping

Requirements

Experience

  • Diploma or Degree in Accounting, Finance or related discipline
  • Minimum 5 years of accounting or finance experience
  • Experience handling full sets of accounts
  • Retail, hospitality or inventory-based business experience preferred
  • Experience preparing management accounts
  • Experience supporting audits and GST submissions
  • Experience with accounting software (Zoho Books experience is advantageous)
