Role Description
Manage, coordinate, and optimize workplace facilities and building operations to ensure safe, efficient, compliant, and well-maintained environments that support employees and day-to-day business activities. This role is responsible for overseeing facility maintenance, workplace services, vendor coordination, building systems, space utilization, safety procedures, and operational standards across offices or commercial facilities. The successful candidate will collaborate with operations, human resources, procurement, finance, information technology, security, engineering, health and safety, property management, landlords, contractors, and cross-functional stakeholders to maintain reliable facilities and deliver high-quality workplace services. The role also involves preventive and corrective maintenance planning, contractor management, workplace inspections, space planning, utilities monitoring, asset management, office moves, emergency preparedness, facilities budgeting, procurement coordination, sustainability initiatives, computerized maintenance management systems (CMMS), Internet of Things (IoT)-enabled building monitoring, performance dashboards, and continuous improvements that reduce operating costs, strengthen workplace safety, improve asset reliability, and enhance employee experience.
Qualifications
- Bachelor's degree or diploma in Facilities Management, Building Services, Engineering, Property Management, Business Administration, Operations Management, or a related field; relevant facilities certifications are highly desirable.
- Proven experience as a Facilities Specialist, Facilities Executive, Facilities Manager, Facilities Coordinator, Workplace Services Executive, Building Operations Executive, Property Executive, Facilities Operations Manager, or a similar facilities role.
- Strong understanding of facilities management, building operations, preventive maintenance, workplace services, property management, vendor management, occupational health and safety, emergency preparedness, asset management, and operational compliance.
- Experience coordinating building maintenance, electrical and mechanical systems, HVAC, lighting, plumbing, fire protection systems, security systems, cleaning services, waste management, utilities, office equipment, and other workplace infrastructure.
- Extensive experience managing contractors and service providers, coordinating maintenance schedules, monitoring service-level agreements (SLAs), conducting facility inspections, resolving operational issues, maintaining documentation, and ensuring facilities remain safe and operational.
- Hands-on experience with computerized maintenance management systems (CMMS), integrated workplace management systems (IWMS), SAP, Oracle, Microsoft Dynamics 365, ServiceNow, IBM Maximo, Planon, Archibus, Microsoft Excel, Power BI, Microsoft 365, and facilities reporting platforms.
- Strong knowledge of facilities budgeting, procurement processes, purchase orders, contract administration, inventory management, asset lifecycle management, space utilization, energy management, business continuity, and key performance indicators (KPIs).
- Experience supporting workplace health and safety programs, emergency response procedures, fire safety requirements, risk assessments, contractor safety management, regulatory inspections, and facilities compliance activities.
- Familiarity with smart building technologies, Internet of Things (IoT) sensors, building management systems (BMS), energy monitoring, intelligent maintenance, predictive analytics, automation, artificial intelligence (AI)-enabled facilities management, and sustainable building practices is highly desirable.
- Strong organizational, analytical, and problem-solving skills with the ability to prioritize maintenance requirements, coordinate multiple vendors, manage operational incidents, control costs, and maintain consistent service standards.
- Excellent communication, coordination, negotiation, and stakeholder management skills with the ability to work effectively with employees, contractors, landlords, property managers, suppliers, engineering teams, security personnel, and senior management.
- Experience supporting corporate offices, commercial buildings, industrial facilities, technology companies, financial institutions, retail environments, logistics facilities, manufacturing operations, hospitality organizations, or multinational companies is highly desirable.
- Strong project management capabilities with experience supporting office renovations, workplace relocations, facility upgrades, space optimization, equipment replacement, sustainability projects, and multiple concurrent operational initiatives.
- Professional certifications such as Certified Facility Manager (CFM), Facility Management Professional (FMP), Project Management Professional (PMP), NEBOSH, IOSH, LEED Green Associate, or equivalent facilities, safety, and building management qualifications are considered an advantage.
- A proactive, service-oriented, and results-driven facilities professional with a strong focus on workplace safety, operational reliability, cost efficiency, sustainability, and modern facilities technologies to create productive, secure, and well-managed working environments.
