Job Purpose

The Facilities Specialist is responsible for the day-to-day management, maintenance, and smooth operation of the company's workplace facilities. The role ensures that the office environment is safe, functional, well-maintained, and conducive to employee productivity.

Key Responsibilities

Facilities & Office Management

  • Manage the day-to-day operations and maintenance of office facilities.
  • Coordinate office repairs, maintenance works, renovations, and improvements.
  • Conduct regular inspections of office premises, equipment, and common areas.
  • Ensure facilities, furniture, fixtures, and equipment are properly maintained.

Vendor & Contractor Management

  • Liaise with landlords, building management, contractors, and service providers.
  • Manage facilities-related vendors and monitor service quality and performance.
  • Obtain quotations and coordinate procurement for facilities-related services and supplies.
  • Ensure vendors comply with company requirements and applicable safety standards.

Workplace Safety & Compliance

  • Support workplace health, safety, and security requirements.
  • Coordinate fire safety inspections, emergency preparedness, and evacuation drills.
  • Ensure required licences, permits, inspections, and certifications are maintained.
  • Identify potential workplace risks and recommend appropriate corrective actions.

Office Services & Employee Support

  • Support meeting room and common-area management.
  • Respond promptly to facilities-related requests and employee concerns.
  • Support employee events, meetings, town halls, and other workplace activities where required.

Budget & Administration

  • Assist with the preparation and monitoring of the facilities and office administration budget.
  • Track facilities-related expenses and ensure costs remain within approved budgets.
  • Maintain accurate records of contracts, invoices, maintenance schedules, and asset information.
  • Identify opportunities to improve operational efficiency and reduce facilities costs.

Requirements

  • Diploma or Degree in Facilities Management, Building Management, Business Administration, or a related discipline.
  • About 5 years of experience in facilities, workplace, office, or property management.
  • Experience managing vendors, contractors, and building management.
  • Good knowledge of workplace safety and facilities management practices.
  • Able to manage multiple priorities and work independently.
