Responsible for the overall management and smooth operation of building facilities to ensure compliance with safety procedures, regulatory requirements, contractual obligations, and company guidelines.
Lead and supervise the facilities team in the daily management of operational activities at site.
Responsible for hiring, coaching, performance management, and staff development of the facilities team.
Develop and maintain an effective facilities organization that operates within approved budgets and in alignment with corporate objectives.
Lead the development and implementation of facilities business plans, forecasts, and continual improvement initiatives to enhance ground response efficiency and ensure business continuity where applicable.
Ensure the upkeep and maintenance of premises and amenities managed by the company are carried out promptly by the operations team.
Liaise and work closely with clients to resolve ground issues in a timely and professional manner.
Contribute ideas and solutions to automate and improve operational processes and functional tasks.
Maintain proper documentation and records in accordance with contractual and regulatory requirements.
Assist in the financial management of contracts as and when required.
Maintain close communication and coordination with internal stakeholders and site representatives to ensure smooth operational execution.
Conduct site surveys (self-initiated or upon job request) and prepare detailed survey reports for each job, including photographic documentation.
Prepare and submit job quotations through the system.
Source, assign, and coordinate jobs with sub-contractors.
Ensure all necessary sub-contractor clearances are prepared, including Safety Induction Documents, Stickers, and Security Clearances.
Prepare and ensure all required safety and work documentation (e.g. toolbox meeting records, method statements, safety plans, and risk assessments).
Verify completed jobs by taking completion photos, signing off, and collecting sub-contractors delivery orders.
Prepare and submit Service Reports into the system promptly.
Update Finance to facilitate invoicing and ensure accurate billing records.
Keep track of all jobs and billings, ensuring proper filing and documentation.
Monitor job progress and ensure tasks are completed efficiently, safely, and in accordance with company and client requirements.
Report to the Project Manager on monthly performance, including the number of jobs completed and their respective values.
Perform any other duties as assigned to support operational and business needs.
Requirements:
Diploma/Degree in Facilities Management, Mechanical Engineering, Civil Engineering, Building Services, or related discipline.
Relevant certifications, such as IFMA (International Facility Management Association) or equivalent, will be an added advantage.
Proven experience in facilities management or a related field, with knowledge of minor works
Strong leadership and communication skills
Ability to work independently and make decisions
Knowledge of facilities management principles, practices, and regulations
Excellent problem-solving and analytical skills
Ability to manage multiple projects and priorities
Proficient in using Microsoft Office and PDF
Willing to work outside normal office hours including weekends and public holidays, as and when required.
