Location: Toa Payoh
Work hours: 9am to 6pm
Period: 3 to 4 months contract
Salary: $4000 to 4800 per month
Objective:
- To assist the Head of Facility in the day to day running of facility and asset management and
- Work closely with the different departments, team members, and contractors, to ensure that that all work is completed timely and to acceptable standards.
Responsibilities:
- Overseeing the physical condition including maintenance and capital needs of properties:
- Coordinate and liaise with the Head of Facility and the team on building defects, feedback and follow-up on rectification works
- Plan and supervise preventive and corrective maintenance to minimise disruption to operations
- Budget, assess, schedule, and coordinate capital improvement and/or maintenance requirements
- Ensure contractors/vendors/service providers complete repair and maintenance work to required timelines and standards under the various term contracts or as and when the need arises
- Conduct regular site inspections
- Assist the Head of Facility with building administration, projects, monitoring and review of works
- Source for comparative vendors / contractors to carry out maintenance or repair works.
- Handling asset related issues such as:
- Respond to fire, building and security related emergenciesPlan and handle building enforcement matters
- Manage tenant's requests and address concerns
- Review legal documents and contracts:
- Prepare and tender term contracts
- Negotiate and finalise and / or renewal of term contracts and agreements with contractors and third-party vendors
- Ensure that term contracts are carried out satisfactory, and carry out corrective actions when necessary.
- Carry out administrative and maintenance of records for documentation, rectification works and related matters. Ensure that documentation is scanned and approval papers are filed properly.
- Assist finance department with any enquires on invoices or any request for additional documentation as necessary.
- OH&S Committee member with the aim of promoting a safe and accident free environment in the office and on site. To ensure that contractors and third parties comply with safety guidelines and regulations, and provide recommendation to the OH&S committee and management on methods for improvement of safety standards
- Any other duties as assigned.
