Job Description

Job Summary:

The Facilities Executive will manage all facilities and services within a Net Zero Building, serving as the primary on-site contact for facilities-related requests. This role focuses on driving sustainability initiatives, ensuring operational excellence, and maintaining high standards of facility management, compliance, and customer satisfaction. The executive will also oversee soft services operations, including front-line delivery, VIP support, F&B tenant management, and critical environment operations, upholding the professionalism expected in global financial institutions.

Key Responsibilities:

  • Facilities Operations & Maintenance:
  • Manage all building facilities and services, including comprehensive energy management, daily sustainability data monitoring to ensure Green Mark targets are met, and ensuring data availability to authorities like BCA.
  • Oversee building procedures, Planned Preventative Maintenance (PPM), and Reactive Maintenance, ensuring compliance with Regional Operations procedures and regulatory standards.
  • Conduct annual power shutdowns, fire evacuation exercises, and manage churn/relocation activities.
  • Ensure all Critical Environment (CEM) requirements are met.
  • Provide 24/7 response to critical alarms, emergency call support, and site attendance.
  • Address faults and service issues via helpdesk, coordinating with FM and M&E teams.
  • Soft Services Operations & Workplace Experience:
  • Manage end-to-end soft services (cleaning, security, concierge, front-of-house, event support) across diverse environments, including high-security and trading floors.
  • Act as the primary contact and deliver seamless support for VIPs and senior executives.
  • Maintain an on-site presence during key business periods, incidents, and events.
  • Conduct vendor training, maintain SOPs, and manage manpower deployment.
  • Coordinate soft services for events and projects and be on standby for major incidents.
  • Sustainability Management:
  • Manage sustainability programs, support FM teams in achieving sustainability goals, and collaborate with internal and external stakeholders (e.g., BCA, NEA).
  • Research new technologies, analyze energy data for trends and anomalies, and implement environmental footprint reduction programs.
  • Maintain tools and databases for tracking sustainability progress and prepare for corporate sustainability reporting.
  • Support sustainability initiatives, ESG goals, and Green Mark certification.
  • Risk Management & Compliance:
  • Implement and manage property risk programs covering occupational health and safety, fire safety, essential services, and environmental factors.
  • Monitor guidelines for health and safety, protect organizational reputations, and support disaster recovery/business continuity plans.
  • Adhere to escalation and incident reporting procedures and ensure compliance with WSH requirements and bank policies.
  • Vendor Management:
  • Manage on-site contractors, ensuring performance standards are met, and support incident management.
  • Conduct performance reviews, implement improvement plans, and lead soft services procurement.
  • Manage work orders, purchase orders, and draft scopes of work.
  • Communication & Stakeholder Management:
  • Provide superior customer service, record and action client feedback, and proactively manage expectations.
  • Draft and circulate internal communications, liaise with users and clients, and coordinate with departments and vendors.
  • Reporting, KPI & Technology:
  • Assist with budgeting, provide input for monthly reports, and monitor KPIs.
  • Utilize technology for data analysis, reporting, and process improvements.
  • Support new system implementation, monitor fault reporting, and generate monthly performance reports.

Candidate Profile:

Experience:

  • 2 to 3 years in facilities, preferably in banking, finance, or critical environments.
  • Hands-on experience with clients/ user, 24/7 operations, and driving sustainability initiatives.
  • Proven leadership in vendor training, operational coordination, and workplace service innovation.
