About The Role

The Facility Coordinator is responsible for supporting the daily operation, maintenance, safety and administration of facilities to ensure a safe, functional, and efficient workplace environment.

The role coordinates service providers, maintenance activities, workplace services, and continuous improvement initiatives while maintaining high levels of customer satisfaction.

What You'll Do

Vendor Management

  • Source quotations, evaluate proposals, and manage purchase orders for soft service requirements.
  • Supervise and coordinate with third-party vendors for cleaning, pest control, waste management, landscaping, and handyman.
  • Ensure vendors comply with safety, security and site regulation.

Daily Operations

  • Conduct daily walk-throughs and inspections to ensure high standards of cleanliness across shared spaces, pantries, and restrooms.
  • Coordinate and oversee daily facility operations.
  • Manage pantry and office supply inventory, placing orders as needed.
  • Respond promptly to facility helpdesk tickets and employee inquiries regarding facilities issues.
  • Monitor facility inventory, consumables and equipment availability
  • Support office moves

Maintenance Coordination

  • Coordinate with vendors, contractors and internal teams to schedule repair and maintenance works
  • Ensure maintenance activities comply with safety requirements and permit-to-work procedures
  • Maintain maintenance records and service report/delivery orders
  • Provide regular update on maintenance status and completion to stakeholders
  • Follow up corrective maintenance activities and verify issues are resolved.

Health, Safety & Compliance

  • Enforce workplace safety protocols and ensure contractors comply with building codes and safety regulations.
  • Conduct safety inspections, participate in emergency drills, and log any incidents or near-misses immediately.
  • Maintain updated documentation of contractor insurance, permits, and certifications.

What You'll Need

  • High School Diploma or GED with up to 2 years of job-related experience.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Strong organizational skills with an inquisitive mindset.
  • Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
