Job Description

Export & Import Coordinator to support the day-to-day coordination of import and export shipments, shipping documentation and logistics arrangements. The role will work closely with suppliers, customers, freight forwarders, shipping lines, customs agents, warehouse, production, procurement and sales teams to ensure shipments are processed accurately and delivered on time.

Key Responsibilities

  • Coordinate day-to-day export import shipments, including shipment bookings, documentation, delivery arrangements and shipment tracking.
  • Prepare, verify and maintain import/export and shipping documents, including commercial invoices, packing lists, Bills of Lading/Air Waybills, Certificates of Origin and other relevant documents.
  • Coordinate with freight forwarders, shipping lines, customs agents, transporters, suppliers and customers on shipment arrangements and documentation requirements.
  • Assist with preparation and submission of Singapore Customs / TradeNet declarations, permits and related documentation, where required.
  • Liaise with warehouse and production teams to coordinate cargo availability, container loading, delivery and collection schedules.
  • Monitor shipment status and proactively follow up on delays, documentation issues, delivery arrangements and other exceptions.
  • Maintain accurate shipment records, filing and tracking of import/export documentation for audit and reference purposes.
  • Check freight and logistics-related invoices against agreed rates, shipment details and supporting documents before submission for payment.
  • Coordinate with internal departments to ensure timely availability of goods, shipping documents and required approvals.
  • Support inventory and shipment-related data updates in the ERP/WMS or relevant logistics systems.
  • Ensure import/export activities are carried out in accordance with company procedures and applicable customs, trade and food-related requirements.
  • Prepare routine shipment reports and provide updates on shipment status and outstanding matters.
  • Perform other logistics, import/export and administrative duties as assigned by the supervisor.

Requirements

  • Diploma in Logistics, Supply Chain Management, Business, International Trade or a related discipline.
  • 1-4 years of relevant experience in import/export, shipping, logistics coordination or supply chain operations.
  • Experience in import/export documentation, freight coordination and shipment tracking.
  • Familiarity with Singapore Customs, TradeNet and import/export procedures will be an advantage.
  • Experience in food manufacturing, FMCG, food trading or a related industry will be an advantage.
  • Familiarity with SFA requirements, food import permits or controlled food products will be an advantage.
  • Proficient in Microsoft Office, particularly Excel, with experience in ERP, WMS or logistics systems preferred.
  • Good organisational and follow-up skills, with strong attention to detail and accuracy.
  • Able to coordinate effectively with internal departments and external logistics partners.
  • Able to work independently, prioritise tasks and manage multiple shipments or deadlines.
  • Good communication and interpersonal skills.
  • Proficiency in written and spoken English, with proficiency in an additional language considered an advantage where required for effective communication with customers, suppliers, or business counterparts.
