We are seeking a highly effective Executive/Senior Executive, Personal Assistant (Administrative and Executive Support) to join our department dedicated to employment and employability!
In this role, you will support NTUC's sub-department's Senior Management and team. You will deliver high-level executive secretarial duties, administrative coordination and stakeholder liaison, while driving process improvements and ensuring seamless day-to-day operations. Your ability to anticipate needs, manage priorities, and follow through on key initiatives will be essential in ensuring work is executed efficiently and professionally.
Job Responsibilities
Secretariat and Executive Support
- Manage Senior Management's schedules and provide meeting secretariat support, meeting materials, room bookings, and follow-up actions.
- Provide timely day-to-day support and manage ad-hoc requests to ensure smooth departmental coordination
Stakeholder and Communication Management
- Serve as a liaison with internal and external stakeholders, managing operational correspondence on behalf of Senior Management, ensuring clarity and timeliness
- Coordinate information flow to support decision-making and stakeholder engagement
Operations and Business Support
- Coordinate and support stakeholders on matters including travel arrangements, events, meetings, procurement, invoices, claims, onboarding and exit logistics, access requests, events support, and other transactions in line with internal policies
- Maintain proper documentation and prepare standard reports or updates to support visibility and follow-up
- Support process improvements by identifying recurring work issues and recommending practical workflow enhancements
- Ensure confidentiality and adherence to PDPA, internal governance requirements, and standardised work practices
Job Requirements
- Strong organisational and prioritisation skills in a fast-paced environment
- Good stakeholder management across senior leadership and external partners
- Excellent written and verbal communication skills
- Ability to maintain high level of discretion, integrity, and professionalism
- Ability to anticipate needs and work independently with minimal supervision
- Proficient in Microsoft Office tools and virtual collaboration platforms
- At least 2 years of relevant experience supporting senior management or C-suite executives. Relevant administrative or secretarial training is an advantage
Working Location: Jurong East, Devan Nair Institute
Designation and salary will commensurate with experience.
