Job Summary
Responsible for sourcing, negotiating, and purchasing materials from overseas vendors. Manage operational purchasing, coordinate shipments, resolve supply issues, and support supplier evaluation and onboarding to ensure timely delivery and compliance with project specifications.
Responsibilities
- Source and negotiate with overseas vendors to purchase materials aligned with project requirements
- Evaluate vendor quotations to ensure accuracy and alignment with enquiries
- Plan and issue Purchase Orders to meet operational purchasing needs
- Coordinate with Shipping Department to track Purchase Order deliveries and shipment schedules
- Resolve supply and quality issues with suppliers before shipment to prevent delays
- Monitor material availability to avoid shortages or excess inventory
- Support cost comparison analysis and supplier evaluation processes
- Coordinate Overseas Vendor Assessments for vendor approval compliance
- Collaborate with Warehouse team to manage stock control and resolve inventory discrepancies
- Evaluate supplier performance to ensure compliance with ISO's PPI standards
- Maintain accurate supplier records and ensure adherence to project specifications
- Support local and international shipment processes and monitor shipment status for potential delays
- Prepare and maintain reports, trackers, and dashboards to ensure data accuracy
- Coordinate with suppliers and internal teams to resolve operational issues promptly
- Support supplier onboarding, documentation, and compliance processes
- Review and recommend improvements to internal procurement processes to enhance the ISO system
- Undertake ad-hoc duties as assigned
Required competencies and certifications
- Diploma in any Engineering or Science discipline with at least 5 years of experience in procurement or purchasing roles
- Proficient in Microsoft Office, especially Excel
- Strong negotiation and communication skills to engage effectively with vendors and internal stakeholders
- Good knowledge of Purchase Order processing, invoice matching, and procurement operations
- Ability to communicate effectively at all organizational levels
- Demonstrated initiative and ability to work independently and collaboratively with a positive attitude
