Executive Personal Assistant (PA) and Personal Assistant manage high-level administrative and operational support for Company Executives and Senior leadership. The role acts as a trusted gatekeeper, involving complex calendar management, gatekeeping communications, travel logistics coordination, and handling highly confidential information to maximize the leader's productivity.
Key Responsibilities
- Calendar & Schedule Management: Manage complex diaries, resolving scheduling conflicts and arranging meetings across multiple locations.
- Communications & Gatekeeping: Serve as the primary point of contact by screening appointments, and drafting correspondence on the executive's behalf.
- Travel & Logistics: Organize detailed travel itineraries, flights, and accommodations.
- Meeting Preparation: Compile briefing materials, create presentation decks (e.g., PowerPoint), attend meetings to take minutes, and track action items.
- Reporting & Administration: Process expense reports, manage files, and handle ad-hoc projects or research.
Essential Skills
- Discretion: Ability to manage sensitive and confidential corporate or personal information.
- Organization: Exceptional time management and the ability to multitask in a fast-paced environment.
- Communication: Bilingual in English and Mandarin. Clarity in written and verbal communication skills
- Tech-Savviness: High proficiency in the Microsoft Office Suite, digital calendars, and virtual meeting platforms.
Requirements:
- Prior experience supporting senior executives or leadership teams for a minimum of 5 years seasoned candidates will be considered for Executive PA position.
- Strong communication, organizational, and stakeholder management skills
- Ability to work independently in a fast-paced environment
- High level of professionalism, discretion, and adaptability
- Comfortable managing multiple priorities and timelines simultaneously
- Fluent in Mandarin will be advantageous
Education:
- Degree/ Diploma in Business Administration, Secretarial Studies, or a related field.
