Our client is a prominent, locally grown F&B business dedicated to delivering premium food and beverage concepts to the Singaporean foodies. They have also expanded to a lifestyle brand with close to 10 outlets in Singapore. Job Summary:

We are seeking a dedicated and detail-oriented Executive Assistant/ Personal Assistant to support the CEO. The ideal candidate will be highly organised, proactive, and capable of managing various secretarial/ administrative and personal tasks on behalf of the CEO to ensure smooth day-to-day operations. You would be an excellent fit for the role if you are someone who is bright, positive, able to adapt and take on new challenges, and has a desire to gain serious exposure to the ins and outs of the F&B/lifestyle business and be at the heart of business operations.

Key Responsibilities:

  • Assist the CEO with daily administrative tasks, including managing their calendar, scheduling meetings with various levels of stakeholders across business needs, and handling correspondence
  • Handle incoming and outgoing communications, ensuring timely responses and appropriate follow-ups
  • Assist in organising and coordinating employee engagement events for the whole office, planning birthday celebrations, team bonding activities, and supporting any other employee needs
  • Maintain office supplies, manage inventory, and ensure the office environment is organized and efficient
  • Input and maintain accurate business records in databases and spreadsheets
  • Provide excellent customer service by handling inquiries and resolving issues promptly
  • Arrange travel itineraries, accommodations, and transportation for the CEO if needed

Requirements:

  • Minimum of 2 years of experience in an administrative or support role, preferably in the F&B/ hospitality/ retail industry
  • Diploma or degree in Business Administration or a related field is advantageous
  • Strong organisational skills to manage multiple tasks and deadlines efficiently
  • Excellent time-management abilities to prioritise work and meet deadlines consistently
  • Superior communication skills for effective interaction with team members, clients, and stakeholders
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) to create, edit, and manage documents and presentations
  • Positive, proactive, and energetic demeanor with a demonstrated willingness to learn and adapt to new challenges
  • Hands-on approach with a focus on achieving results and driving projects to completion
  • High level of professionalism and discretion in handling sensitive information and maintaining confidentiality
  • Meticulous attention to detail to ensure accuracy in all tasks and deliverables.
  • Excellent teamwork and interpersonal skills to collaborate effectively with diverse team members and build strong working relationships.
